About the Role

At Pavago, one of our clients is hiring an experienced Operations Manager to bring structure, clarity, and execution discipline across multiple client environments.

This is a high-ownership, systems-driven role — not an administrative or coordination-only position. You’ll manage operations across multiple businesses simultaneously, identify operational gaps, build scalable processes, improve team accountability, and ensure priorities move from planning to execution.

The role sits at the intersection of Operations, Project Management, and HR, making it ideal for someone who understands both how businesses operate and how teams need to be structured to perform effectively.

What You’ll Own

Multi-Client Operations Management

• Manage operations across multiple client accounts simultaneously.
• Quickly understand each client’s business model, priorities, workflows, and operational challenges.
• Bring structure to ambiguous or fast-changing environments.
• Establish clear priorities and maintain visibility across active workstreams.
• Adapt operational frameworks to different businesses without creating unnecessary complexity.

Delivery & Execution Management

• Maintain structured trackers for projects, deliverables, owners, and deadlines.
• Ensure commitments are completed accurately and on time.
• Identify bottlenecks before they affect delivery.
• Proactively resolve execution gaps and escalate critical risks when necessary.
• Prioritize high-impact initiatives while pushing back on low-value activities.
• Drive accountability across stakeholders and teams.

Client & Team Coordination

• Act as a primary day-to-day operational contact for client teams.
• Conduct structured weekly check-ins focused on progress, blockers, priorities, and outcomes.
• Keep stakeholders aligned on responsibilities and expectations.
• Ensure communication remains clear, concise, and action-oriented.
• Minimize friction between teams while maintaining accountability.

HR & People Operations

• Support hiring processes, including CV screening and initial candidate evaluations.
• Provide structured recommendations on candidate fit.
• Assist with defining roles, responsibilities, and team structures.
• Improve accountability through clear ownership and performance expectations.
• Help clients align their people structure with operational requirements.

SOPs, Workflows & Process Development

• Document recurring processes into clear SOPs, checklists, and workflows.
• Identify inefficient or inconsistent processes and redesign them.
• Build scalable operational systems that reduce dependency on individuals.
• Apply structured project management frameworks, including PMP principles or equivalent methodologies.
• Continuously improve processes based on operational performance and recurring issues.

AI & Automation

• Use AI tools to improve operational speed, research, documentation, and decision support.
• Identify repetitive processes suitable for automation.
• Implement practical workflows using automation platforms where appropriate.
• Improve efficiency without unnecessarily overengineering systems.
• Help clients adopt AI and automation in ways that produce measurable operational value.

Required Experience & Skills

• 3–5 years of experience in Operations, Project Management, Chief of Staff, or similar roles.
• Proven experience managing multiple clients, projects, or workstreams simultaneously.
• Strong understanding of operations as a discipline — beyond basic task coordination.
• Experience working in startups or other fast-paced business environments.
• Hands-on experience with tools such as:
• Slack
• WhatsApp
• Google Workspace
• Airtable or similar operational platforms
• Excellent written and verbal English communication.
• Strong problem-solving, prioritization, and stakeholder management skills.

Must-Have Requirements — Non-Negotiable

• PMP certification or equivalent project management certification.
• Previous experience in HR, hiring, or people operations.
• Strong systems and structured-thinking mindset.
• Ability to quickly understand and improve operations across different businesses.
• Ability to manage multiple client environments simultaneously.
• Strong English communication skills.

Nice to Have

• Experience with Zapier, Make, n8n, or similar automation tools.
• Familiarity with ChatGPT, Claude, Notion AI, or other AI productivity tools.
• Experience supporting B2B or service-based businesses.
• Experience working directly with founders or entrepreneurial leadership teams.
