About the Role

We are seeking a proactive and highly organized Marketing & Operations Coordinator to support a U.S.-based professional coaching and business services organization. This role combines marketing coordination, administrative support, and operational assistance, making it ideal for someone who enjoys balancing creative initiatives with day-to-day business operations.

You'll play a key role in growing the organization's online presence, supporting client engagement, and helping ensure projects and business activities run smoothly.

Duties / Task to Perform

• Monitor shared email inboxes and flag urgent or action-required messages.
• Organize and maintain email communications as needed.
• Create, schedule, and manage social media content, with the majority of your time focused on marketing initiatives.
• Support social media activities across multiple business brands.
• Coordinate marketing campaigns and contribute to content strategy.
• Promote workshops, seminars, and events across social media platforms and event management tools.
• Optimize and manage YouTube content and uploads.
• Process networking contacts and draft personalized follow-up communications.
• Maintain ongoing business development outreach to prospective clients.
• Organize tasks, manage priorities, and provide reminders for ongoing projects.
• Conduct monthly client check-ins.
• Manage monthly timesheets and invoicing.

Requirements

• Intermediate experience as a Virtual Assistant, Marketing Coordinator, or in a similar administrative role.
• Executive or Administrative Assistant experience is a plus.
• Proven experience managing social media marketing and analyzing engagement metrics.
• Proficiency with Instagram, Facebook, and LinkedIn.
• Experience creating and executing content strategies.
• Experience promoting events, workshops, or seminars through organic social media and event platforms.
• Familiarity with YouTube content optimization.
• Video editing skills are considered an advantage.
• Experience growing online communities and increasing organic followers.
• Excellent organizational, communication, and multitasking skills.
• Fluent in English and Spanish.
• Organized, proactive, resourceful, detail-oriented, action-oriented, and able to manage multiple priorities effectively.

Schedule: Part-time | Monday, 8:00 AM – 12:00 PM (GMT -8:00) Pacific Time (US & Canada)
