Job Description:

The Manager – Station Design is a client-facing role responsible for planning, coordinating, and controlling the design process for a series of rail stations within a major rail mega project.

This position focuses on process management rather than technical design production. You will ensure that design activities are sequenced correctly, stakeholders are engaged at the right time, approvals are obtained, and information flows smoothly between disciplines, the client, and external parties.

You will support senior leadership while acting as the day-to-day coordinator and client contact for design process matters related to the Upper Plateau Stations.

Key Responsibilities

1. Client & Stakeholder Coordination

• Act as a regular point of contact for the client on design process matters for the Upper Plateau Stations.
• Organise and lead routine design coordination meetings, capturing actions, decisions, and follow-up items.
• Record and track client requirements and decisions, ensuring they are communicated to relevant design teams.
• Coordinate submissions and responses to authorities, regulators, and third parties, aligning with defined approval processes.

2. Design Process Planning & Control

• Assist in developing and maintaining the design management plan and workflows for the Upper Plateau Stations.
• Create and maintain detailed design process schedules, including review cycles, submission dates, and approval milestones.
• Coordinate inputs from multidisciplinary teams (architecture, civil/structural, MEP, systems, safety, accessibility, operations) according to agreed process timelines.
• Manage interface coordination processes between station design and adjacent assets (track, viaducts, systems, public realm, utilities) to ensure timely exchange of information.
• Support implementation of change control processes, ensuring modifications to the design are documented and processed through agreed steps.

3. Progress Monitoring & Reporting

• Track progress against design process milestones, identifying delays, bottlenecks, and emerging risks.
• Prepare regular status reports and presentations for the client and internal leadership, highlighting upcoming decisions and critical path items.
• Work with discipline leads to develop and implement recovery or mitigation plans when process milestones are at risk.

4. Quality, Risk & Compliance (Process-Focused)

• Ensure design deliverables follow agreed review, check, and approval workflows before issue to the client or authorities.
• Maintain a design process risk register (e.g., late inputs, approval delays, unresolved comments) and coordinate mitigation actions with relevant stakeholders.
• Support compliance by ensuring that necessary technical, safety, and regulatory checks are embedded at the appropriate stages of the design process.
• Promote adherence to project quality management systems and procedures.

5. Coordination with Technical Teams & Construction

• Collaborate closely with technical discipline leads to understand their review requirements and incorporate them into the process schedule.
• Organise and facilitate constructability, operations, and maintenance review sessions, capturing and tracking resulting actions.
• Ensure feedback from construction and operations teams is fed into the design workflow and monitored through to resolution.

6. Documentation, Systems & Data Management

• Maintain clear, structured records of design decisions, approvals, and action tracking for Stations.
• Work with document control and information management teams to ensure proper use of common data environments (CDE) and collaboration tools.
• Support implementation and continuous improvement of digital tools and platforms used to manage the design process.

Qualifications & Experience

• Bachelor’s degree in Engineering, Project Management, or related discipline.
• Professional qualification in project management (e.g., PMP, PRINCE2, or equivalent) is an advantage.
• 10+ years of experience in project management or design coordination on large infrastructure, rail, or transit projects.
• Demonstrated experience managing design processes, workflows, and approvals in complex, multi-stakeholder environments.
• Experience with rail or metro station projects (including elevated or plateau stations) is highly desirable.
• Familiarity with design management frameworks, document control practices, and common data environments.
• Good understanding of the rail project lifecycle and regulatory/approval processes, even if not acting as a technical designer.

Skills & Competencies

• Strong organisational and coordination skills, with the ability to manage multiple parallel design activities.
• Clear and confident communication skills, both written and verbal, in a client-facing environment.
• Competence in planning and scheduling, including use of project management tools (e.g., MS Project, Primavera, or similar).
• Ability to facilitate meetings and workshops, drive action completion, and maintain momentum across teams.
• Attention to detail with a focus on documentation, traceability, and process compliance.
• Collaborative mindset, able to work effectively with multidisciplinary teams and external stakeholders.
• Problem-solving skills with the ability to identify issues early and propose practical process solutions.
