Summary
We are seeking a highly professional, proactive, and exceptionally organized Field Team Support Assistant to provide comprehensive administrative support to the Field Team (Sales, Customer Success, and Professional Services). This role also includes dedicated support for Japan Country Manager and visiting Guidewire executives. The ideal candidate will be highly flexible, capable of handling diverse tasks, and fluent in reading and writing in both English and Japanese.Job Description
Key Responsibilities
1. Field Team Operations & Administrative Support (50%):
Provide extensive administrative support to the Field Team, including document copying, ordering/procurement, logistical arrangements, and simple document creation.
Assist the field team with arranging customer dinners, booking/renting and setting up meeting rooms, and purchasing necessary equipment to ensure smooth operations.
Facilitate smooth communication and workflow between the Field Team, APAC regional leadership, and headquarters in the US.
2. Support for Country Manager (40%):
Manage complex and dynamic calendars, scheduling internal and external meetings, prioritizing commitments, and optimizing time management.
Handle related administrative tasks and ensure smooth day-to-day operations for the executive.
3. Support for Executive Visitor (10%):
Provide comprehensive support and exemplary hospitality for visiting global executives traveling to Japan.
Coordinate travel arrangements, accommodations, and detailed itineraries during their stay.
Relationship & Stakeholder Management:
Build and maintain positive relationships with key internal stakeholders and external partners.
Handle confidential and sensitive information with the highest level of integrity.
Qualifications & Experience
Essential:
Highly Flexible & Adaptable): A proactive problem-solver who can flexibly respond to varying tasks, anticipate needs, and work independently.
Language Skills: Proficiency in reading and writing in both English and Japanese.
Experience in an assistant, administrative, or field support role in a multinational environment.
Exceptional mastery of Google Workspace (Google Docs, Google Sheets, etc.) and collaboration tools (e.g., Slack, Zoom, Teams).
Superior organizational, time-management, and multi-tasking skills with impeccable attention to detail.
Deep understanding of Japanese business etiquette and professional protocol.
Desirable:
Experience in the enterprise software (SaaS) industry.
