Job Description
Main responsibilities will include:
- Own the administrative support tools used by the EMEA marketing team, including BuySmart and Interaction Hub, ensuring clear ownership, consistent use, timely updates, issue follow-up and practical guidance for users.
- Support product registration activities and follow up on critical projects, coordinating input collection, maintaining action trackers, monitoring deadlines, escalating risks and ensuring timely closure of agreed actions.
- Coordinate EMEA marketing team initiatives and programmes, supporting planning, stakeholder alignment, milestone tracking, meeting preparation, follow-up communication and delivery of agreed outputs.
- Own distribution lists and general EMEA marketing communications, including Marketing Notifications and other recurring updates, ensuring the right audiences are maintained and communications are prepared, coordinated and released on time.
- Connect with WDB global stakeholders and Communications Managers to secure EMEA visibility, share relevant EMEA news, and coordinate responses to information requests from global or regional stakeholders.
- Compile, coordinate and publish Flow Gazette and Newsflow, gathering inputs from relevant stakeholders, managing timelines, supporting editorial consistency and ensuring reliable publication and distribution.
- Maintain EMEA general presentations and documentation, ensuring materials are current, well structured, accessible and aligned with agreed messaging and formatting standards.
- Contribute to editorial work on Showpad, Common Knowledge Base and other repositories, reviewing content quality, structure and usability so that information is accurate, easy to find and ready for use by marketing and commercial teams.
Required knowledge and experience:
- Bachelor’s degree in Business Administration, Marketing, Life Sciences, or a related field; scientific background would be an advantage.
- 1–3 years of experience in administrative coordination, project coordination, marketing operations, business support, communications coordination or a healthcare/medtech environment.
- Strong organizational and follow-up skills, with the ability to coordinate multiple administrative and project workstreams, maintain trackers, monitor deadlines and close actions reliably.
- Strong coordination skills, with the ability to organize information, maintain accurate documentation, and support practical follow-up across multiple stakeholders.
- Digitally savvy, with proficiency in Microsoft Office, especially PowerPoint and Excel;
- Nice to have an experience with CRM, content management, sales enablement, project management or administrative workflow tools such as Salesforce.com, Showpad, Veeva, BuySmart, Interaction Hub or similar platforms would be an advantage.
- Excellent interpersonal and communication skills, with the ability to collaborate effectively across a complex matrix organization, connect with global stakeholders, and influence through clear, structured follow-up.
- Proficient in English, verbal and written. A further major European language would be an advantage.
- Willingness to travel, anticipated to be up to 20–30% of time depending on business needs
