Job Role: Automation & Systems Specialist
Salary Budget: $1,800 -2,500 AUD / Month
Contract Type: Independent Contractor
Work Schedule: This role is expected to align with the AU business hours (approx. 9.00 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview:
This position is for an Automation & Systems Specialist to help identify, build and implement practical technology and automation solutions across the business.
This is a broad technical role rather than a traditional “AI specialist” position. The ideal candidate will have a background in software development, systems engineering, automation, solutions engineering or a similar technical discipline, combined with strong experience using AI and modern automation tools.
You will work closely with the team to understand existing processes, identify opportunities for automation and improvement, build integrations and workflows, and help embed these solutions into the business.
Key Responsibilities:
- Review existing business processes and identify opportunities for automation and improvement.
- Work across the Microsoft 365 and Azure environment.
- Design and implement automated workflows and system integrations.
- Use tools such as Claude, ChatGPT, Power Automate, or similar platforms.
- Work with APIs, webhooks and data integrations where required.
- Develop scripts or lightweight solutions where no off-the-shelf automation exists.
- Assist with AI-enabled workflows for client onboarding, information collection, document preparation and reporting.
- Explore opportunities to use AI for reviewing completed work and identifying potential errors or inconsistencies before delivery to clients.
- Help automate recurring client communications and internal processes.
- Build and maintain SOPs and documentation for new workflows.
- Test and troubleshoot automations before implementation.
- Train team members on new systems and workflows.
- Monitor existing automations and continuously identify opportunities for improvement.
- Research emerging AI and automation technologies and assess their practical application within the business.
Requirements
Required Skills and Qualifications:
- 5+ years' experience in software development, systems engineering, automation, solutions engineering, technical business analysis or a related technical field.
- Strong experience with Microsoft 365 and/or Azure.
- Advanced proficiency in Microsoft Excel, including complex formulas, data analysis, reporting, dashboards, and VBA (Visual Basic for Applications) for process automation and workflow optimization.
- Strong hands-on experience with Microsoft SharePoint, including document management, collaboration tools, lists, workflows, permissions, and maintaining intranet-based systems.
- Experience working with document management systems (DMS) is required, including organizing, maintaining, retrieving, and managing business documentation in a structured digital environment.
- Experience designing and implementing business process automation.
- Experience with AI tools such as Claude and ChatGPT.
- Understanding of APIs, integrations, webhooks and data structures.
- Working knowledge of HTML, CSS and JavaScript.
- Strong problem-solving and analytical skills.
- Ability to understand a business process and translate it into a technical solution.
Preferred Skills (Nice to Have)
- Experience with Claude Code or similar AI-assisted development tools.
- Python, JavaScript/TypeScript or another programming language.
- SQL/database experience.
- Experience working with accounting, financial or professional services businesses.
- Experience automating document-heavy or data-heavy workflows.
- Experience working with multiple SaaS platforms and integrating them together.
