Cloudflare is looking for an Administrative Assistant to support members of our senior leadership team. We are looking for a dynamic dedicated candidate, preferably with experience of supporting VP level Executives or higher. The candidate must be comfortable with multi-tasking and prioritisation in a fast-speed environment with close attention to detail, accuracy, and timeliness.

Your job is to keep our leader organised, prioritised and productive while we grow in the region. This role requires superior attention to detail, great organisational skills, and the ability to juggle multiple high-priority requests. It also requires the ability to work with team members at all levels, sometimes under pressure. A high level of integrity and discretion in handling confidential information is important, as is a positive attitude. The ideal candidate is a seasoned EA who understands the value in cultivating relationships and prides themselves in being a career EA. 

Responsibilities

• Admin: Provide excellent administrative support to our leaders primarily with some level of admin support to 1-2 of their directs, exercising high attention to detail and discretion to every matter. Plan, coordinate and execute meeting set-up and events. Provide agendas, detailed data, information and resources to the executive in preparation for meetings. Prepare and manage expense reports.

• Calendar: Proactively own and flawlessly execute on our executives' calendar, prioritising with purpose, deflecting with tact, and understanding both the short and long-term impacts of each confirmed, declined, and rescheduled meeting. Ensure the executives are equipped with all the necessary meeting information and manage inbound and outbound requests. 

• Travel: Plan all aspects of domestic and international travel, optimising and balancing executives' time with cost of travel; monitoring flights for up to the minute changes; ensuring all documents are secured and up-to-date.

• Special Projects: Coordinate and organise APJC-wide internal events (including our regular All-Hands and Leadership meetings). Support Cloudflare TV sessions for APJC region 

• EA Team: Our EA team has a high degree of camaraderie and so the ideal candidate will enjoy partnering closely with their peers and foster teamwork.

Requirements

• You have 7+ years experience as an Executive Assistant in a high growth environment, prior experience supporting the VP levels
• Strong written and verbal communication skills in English is necessary
• Working knowledge of Google Suite, NetSuite, and major airline carrier’s platforms
• Exhibit a strong work ethic, professionalism, confidentiality and good judgment
• Incredibly organised and resourceful, able to juggle and multi-task with acute attention to detail and follow through
• Strong sense of urgency and organisation
• Ability to manage their own time with limited or no supervision
• A "no task is too small" attitude
• Ability to hit the ground running and take charge of the position will be highly advantageous
• Start-up background is a plus

About the role

The Executive Assistant as Sonder is a key partner to the CEO, providing reliable and professional support to ensure time, priorities, and operations are managed efficiently. You will also support the wider Executive Team, coordinating critical tasks and reducing administrative load to help leaders focus on what matters most.

To succeed in this role, you’ll bring deep experience supporting senior executives, exceptional attention to detail, and the ability to stay composed under pressure. You’ll be highly proficient in Google Workspace, confident in preparing polished board-level presentations, and comfortable using modern tools, including AI, to deliver efficient, high-quality outcomes.

What you’ll be doing

• Manage and optimise complex calendars, balancing competing priorities across the CEO and Executive Team.
• Coordinate high-stakes meetings, board sessions, investor interactions, and external engagements with precision.
• Draft, edit, and refine executive communications, reports, and board-level presentations to the highest professional standard.
• Anticipate challenges, resolve scheduling conflicts, and streamline workflows to maximise executive efficiency.
• Plan and execute domestic and international travel and events, ensuring seamless itineraries and logistics.
• Leverage digital and AI tools to enhance research, automate tasks, and deliver efficient, data-driven outputs.
• Uphold absolute discretion in handling sensitive matters and confidential information.
• Provide personal support to the CEO, ensuring professional and personal commitments are coordinated effectively.

• 10+ years of experience supporting C-suite leaders, with expertise across calendar management, executive communications, and board engagement.
• Proven ability to deliver professional support to CEOs and senior executives while also balancing personal assistance with discretion and care.
• Experience providing coordination and operational support to Executive Teams, helping them focus on strategic initiatives.
• Advanced proficiency with Google Workspace, PowerPoint, and modern productivity platforms, plus demonstrated use of AI tools to drive efficiency and quality.
• Exceptional written and verbal communication, producing concise and compelling outputs for board, investor, and external audiences.
• A proactive, solutions-oriented mindset, anticipating needs, identifying improvements, and acting before being asked.
• High resilience and adaptability, thriving under pressure and navigating shifting priorities with composure.
