We’re Extenteam, a dynamic company revolutionizing the short term vacation rental industry. Our proven business model has generated consistent revenue, and we are now expanding from a professional services model to a scalable tech-based subscription-first model.

As a scaling stage startup, we aim to grow our Monthly Recurring Revenue (MRR) to double our revenue by January 2026 by providing an AI assisted SaaS platform that works for all short term rental businesses regardless of their size.

Extenteam is a small but mighty team of 50 consisting of Sales, Partner Success, Marketing, HR & Recruiting, Engineering, Product and Admin (IT, Data etc). We are spread out across the world but we have hubs in Miami, LA, Medellin, and actively expanding into Europe. Our 50 people core team is supported by 400+ DTMs (dedicated team members) that are servicing our customers.

What This Role Is About:

We are looking for Remote Guest Services Specialist for a Property management company Client of ours. This role involves handling inquiries, providing information, resolving issues, and ensuring a seamless communication experience for guests across multiple platforms. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Your Main Responsibilities:

• Respond promptly and professionally to guest inquiries via email, phone, and OTA messaging.
• Provide accurate information regarding bookings, services, policies, and other inquiries.
• Handle and resolve guest complaints and issues efficiently, ensuring guest satisfaction.
• Assist with booking and confirming reservations. Assisting with reservations sales
• Guest review management: Review guest feedback and answer reviews on OTAs
• Coordinate with internal teams | Property Managers | Property Owners to ensure guest requests and special arrangements are met.
• Create, update, and maintain guest communication templates and FAQs.
• Ensure all communications reflect the partner's voice and guidelines.
• Attend occasional virtual meetings and training sessions.
• Provide constant feedback to the team regarding partner issues / suggestions to improve processes. 
• Vendor liaison for HVAC, plumbing, electrical, etc. - dispatch, invoicing, etc.
• Data entry such as onboarding of properties into your PMS, AirBnB or VRBO listings
• Work on off season duties such as deep clean scheduling, lock battery replacements, smoke detector battery replacements, kitchen inventory, documentation of processes and procedures
• Handle permitting, Insurance requirements / documentation from property owners
• Manage calendar and inbox

• Excellent written and verbal English skills for phone, text, and email communication. 
• Previous experience in guest services, reservations, or a related field.

Reporting

This position will report to the Team Lead, Quality Control. 

Summary of Role 

The Quality Control Technician is responsible for the review and close-out of milestone packages (project documents, photos and design details and confirming the estimated production of sold systems meets the installed design) for Palmetto’s Third Party Ownership product. The primary objective of the role is to drive high quality standards of Palmetto owned assets and to clarify necessary remediations to ensure strong portfolio health (systems that can last for 25 years!). Additionally, this role's scope will also include the review of solar monitoring platforms to verify systems are mapped accurately and confirm the nominal function of critical system components. With daily project throughput review, they will ensure project milestone approvals and rejections are actioned in a timely manner, with clear communication to external partners. 

They will support the LightReach division to gather data to drive partner accountability and establish a culture of quality for the organization. 

Strategic & Tactical

• Review installation photos and  job close out documentation
• Review design material, and verify sold production to physical installation
• Review solar monitoring sites, layout, and registered product
• Provide clear and concise kickback reasoning for rejected packages
• Resolve closeout package kickbacks for fast re-submittal turnaround times
• Remain current on install material and methods, product trainings and integration of new products
• Support installation best practices, customer site profile creations, and customer satisfaction
• Handle incoming chat or ticket systems for expedient kickback resolution
• Identify trends or patterns with partners and provide recommendations 
• Contribute to partner & internal operations teams to drive education and best practices in order to drive up M1 & M2 pass rates

Qualifications

• 2-4 years of experience in a technical or construction based solar role
• Experience with interdepartmental problem solving or project management
• Experience in photovoltaic design preferred
• Excellent oral and written communication skills and ability to work with and influence 3rd parties
• Excellent organizational skills and ability to prioritize.
• Excellent analytical skills
• Experience with standard business tools such as G-Suite, Microsoft Office, etc.

Summary of Role 

We are seeking a highly detail-oriented Account Operations Specialist to support extension request processing, queue management, and utility status review. This role will focus on execution, documentation validation, and system updates — operating within established SOPs and escalation guidelines. The ideal candidate is process-driven, comfortable working through queues, and able to maintain high accuracy and SLA adherence in a fast-paced environment.

Strategic & Tactical

Aging Pipeline Management

• Own day-to-day intake and processing of partner extension requests
• Validate documentation completeness and compliance with extension criteria
• Categorize extension reasons (Utility, AHJ, Service, Partner Delay, Other)
• Update extension status and decisions in system tools (Intercom, CRM, trackers)
• Maintain SLA compliance for extension review and response timelines
• Escalate non-standard or repeat-extension cases to onshore Account Ops leadership

Partner Accounting Support

• Serve as the primary point of contact for partner accounting inquiries, ensuring timely and accurate responses
• Investigate and resolve discrepancies related to invoices, payments, and account reconciliations
• Assist partners with understanding financial statements, billing issues, and payment processes
• Collaborate with internal teams to enhance partner experience and optimize financial workflows through process recommendations 
• Maintain accurate documentation of partner interactions and resolutions

Qualifications

• Bachelors degree preferred

We offer a pay range of $8‑to‑$65 per hour, with the exact rate determined after evaluating your experience, expertise, and geographic location.
