• Strong understanding of employment and labor law

Goals of this role:

The Administration Partner is responsible for the comprehensive administrative handling of all HR-related processes within one or several business areas. In close cooperation with HR Officers and HR Business Partners, the role ensures a high-quality, efficient, and legally compliant execution of all administrative HR tasks. The Administration Partner acts as a knowledgeable contact person, process optimizer, and trusted advisor within the operational HR environment.

Responsibilities:

• Own and manage end-to-end HR administrative processes across the employee lifecycle, ensuring accuracy, timeliness, and compliance with internal policies and legal requirements.

• Handle onboarding and offboarding activities, including contract preparation, amendments, termination documentation, exit interviews, and coordination with internal and external stakeholders.

• Prepare and maintain legally relevant HR documents such as employment contracts, addendums, warnings, termination and release agreements, and job references.

• Serve as a primary point of contact for employees, managers, HR colleagues, payroll, and other internal teams on HR-related matters.

• Maintain and update HR systems, digital personnel files, organizational data, and reports (e.g., SAP, InsideNet/EIAM).

• Support payroll processes (pre- and post-processing, checks, reporting) across multiple countries, with a focus on France and coordination with international accounting teams.

• Manage administrative HR topics related to employee life events, including parental leave, sickness, work accidents, vacation entitlements, and special leave.

• Prepare regular and ad-hoc HR reports, analytics, and compliance documentation (e.g., headcount, probation, temporary contracts, ASR reporting).

• Contribute to process optimization, standardization, and digitalization initiatives, including system transitions and change or transformation projects.

• Support organizational development activities such as restructurings, role changes, promotions, and international assignments or expatriations.

• Monitor legal and regulatory changes and support audits, new entity setups, and integration projects.

• Provide functional guidance to working students and support cross-functional and international HR initiatives as required.

About the role (What you’ll be doing):

• Own Zendesk end-to-end — workflows, triggers, automations, macros, views, and user management across multiple patient-facing teams and brands
• Diagnose and resolve system issues, edge cases, and workflow conflicts to keep operations running smoothly at scale
• Design and implement configuration changes with a strong understanding of downstream impact
• Maintain high standards for system hygiene, documentation, and change discipline
• Build and evolve reporting and dashboards that give teams clear visibility on performance, volume, and system behaviour
• Turn ambiguous questions into actionable insights that drive better operational and patient outcomes
• Own and deliver on structured system requests (e.g. new views, triggers, reporting), while reinforcing clear intake and prioritisation processes
• Reduce ad-hoc work by improving documentation, workflows, and request pathways
• Identify and implement automation and tooling improvements that reduce manual effort and increase reliability
• Explore and apply AI-enabled solutions (e.g. routing, tagging, triage, insights) to improve patient experience and team efficiency
• Work closely with Patient Operations, Clinical Support, QA, Training, and Process teams to solve real operational problems
• Support global teams across AU, UK, and beyond — building scalable solutions while accounting for local nuances
• Contribute to building a more scalable, resilient systems function that goes beyond “keeping the lights on”

• You have strong hands-on experience with Zendesk (or similar tools), including workflows, automations, and reporting
• You think in systems — you understand how changes ripple across workflows, teams, and patient experience
• You’re highly structured and detail-oriented, with strong instincts for documentation, organisation, and clean system design
• You take ownership and can independently manage requests while balancing priorities
• You’re comfortable working with data — building dashboards, interpreting trends, and turning them into actionable insights
