This role exists to build and scale a seamless, efficient, and human-centered office environment across locations. You’ll help us create a workspace where teams can do their best work — by owning office operations, enabling hybrid work, and ensuring our infrastructure, vendors, and internal services run smoothly at scale.

What you’ll drive:

• Define and evolve a company-wide workplace strategy across multiple offices and hybrid setup.
• Align workplace operations with business goals, growth plans, and expansion strategy.

• Oversee travel operations and company-wide mobility support.

• Partner closely with HR, IT, Security, and Finance to ensure aligned workplace operations.
• Act as the company-wide owner of workplace-related topics.
• Support leadership with insights, reporting, and recommendations.
• Ensure clear, consistent communication across offices and locations.

• Build, lead, and scale a distributed office/admin team across locations.
• Define team structure, roles, and ways of working.
• Set goals, track performance, and drive accountability.
• Foster a culture of ownership, operational excellence, and continuous improvement.
• Support growth and development of team members.

• Analyze office usage, employee needs, and workplace data to inform decisions.
• Evaluate and implement tools and systems (desk booking, attendance, travel, etc.).
• Identify gaps, inefficiencies, and opportunities for standardization and scaling.
• Make data-informed decisions on locations, vendors, and operational models.

• Proven experience managing office operations at scale (multi-location is a plus).

• Strong organizational skills and ability to handle competing priorities.

This role exists to keep Private Entrepreneur (PE/FOP) accounting accurate, compliant, and scalable — while leading a team that can support growth across locations without chaos. You’ll own standards, controls, and operations so the business can move fast with confidence.

What you’ll work on:

You’ll lead the PE Hub team, ensure compliance and reporting quality, launch workflows for new locations, and continuously improve processes (including automation).

What you’ll drive:

Team leadership & performance

• Lead the PE Hub team: workload distribution, performance oversight, forecasting resource needs.
• Define KPIs and PDP metrics; build development plans and knowledge-sharing routines.

Compliance & regulatory excellence

• Ensure compliance with relevant laws and regulation changes across jurisdictions.
• Maintain team readiness through updates, internal guidance, and consistent standards.

Internal controls & service quality

• Implement and maintain strong internal controls over PE accounting operations.
• Provide a full spectrum of accounting services with accuracy and predictability.

Reporting

• Ensure accuracy and consistency of PE reporting approaches and outputs.

New locations & scaling

• Research new locations, set up workflows, and ensure documentation completeness and accuracy.
• Build scalable processes so expansion doesn’t break quality.

Process improvement & automation

• Continuously improve internal processes to enhance efficiency, accuracy, and compliance.
• Identify automation opportunities and optimize workflows inside tools/systems.

What makes you a GR8 fit:

Must-have

• 5+ years in accounting/reporting, including supervision of PE activities (FOP/PE).
• Strong knowledge of accounting principles, taxation, and PE-related regulations.
• Experience with internal controls and risk management in accounting/tax.
• Ability to manage audits (at least internal; external is a plus).
• Strong problem-solving under tight deadlines; high attention to detail.
• Experience improving processes and leveraging accounting systems/ERPs.
• English B1+; Ukrainian or Russian fluent.

Nice-to-have

• Experience supporting multiple jurisdictions / cross-border PE setups.
