Role Overview

We are looking for detail-oriented professionals to support our Accounts Payable function through high-volume invoice processing or specialized freight auditing, validating invoices against contracts, rate agreements, and shipment records while collaborating with internal teams and external vendors to resolve discrepancies. The ideal candidate has strong analytical skills, attention to detail, and experience in freight auditing or accounts payable.

Key Responsibilities

• Enter a high volume of invoices, ensuring timeliness and accuracy.
• Support the implementation of automation tools and identify opportunities to streamline workflows and reduce manual errors.
• Identify opportunities to streamline invoice processing and reduce errors.
• Review and validate freight invoices against contracts, rate agreements, and shipment records to identify discrepancies in rates, surcharges, or billing.
• Identify and resolve discrepancies related to rates, surcharges, accessorial charges, and billing errors.
• Collaborate with carriers, vendors, and internal stakeholders to resolve billing disputes and discrepancies efficiently.
• Maintain professional and proactive communication with vendors to ensure timely dispute resolution.
• Maintain accurate financial records, audit findings, and documentation of transactions within AP and ERP systems.
• Ensure adherence to company policies, contractual terms, and regulatory requirements in freight auditing.
• Contribute to reconciliation efforts and, for senior roles, assist in training team members on vendor auditing processes.

Qualifications & Requirements

• 3 – 5 years of experience in Accounts Payable, finance, data entry, or logistics/freight auditing.
• Degree in Finance/Accounting or related functions.
• Proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis) and experience with AP is a plus.
• Familiarity with ERP systems (e.g., NetSuite) and audit tools like KBS is a plus.
• Understanding of invoice matching, shipment records, freight rate structures, and accessorial charges.
• Strong ability to identify discrepancies, analyze root causes, and recommend effective solutions.
• Effective written and verbal communication skills for professional interactions with internal teams and external vendors.
• Knowledge of financial controls, regulatory requirements, and company audit metrics.
• Ability to work in a matrixed environment with multiple stakeholders.

The Opportunity:

As an Ocean Operations Associate, you’ll sit at the core of this transformation, owning performance management for our ocean gateway operations in Vietnam. You’ll collaborate with ocean carriers, freight forwarding and trucking partners, as well as cross-functional teams across Flexport, to drive consistent execution, build scalable processes, and deliver high-quality service for our clients.

You will:

• Build and implement operational performance frameworks, processes, and tools to measure partner performance in the Vietnam market.
• Manage and drive the performance of ocean carriers and forwarding partners, using global metrics, dashboards, and reporting to ensure consistency and quality.
• Act as a strategic advisor and coach to external partners and internal operators, identifying gaps and driving solutions through process standardization and training.
• Design and deliver training programs to upskill partners and internal teams, focusing on operational excellence.
• Lead onboarding for new shippers, ensuring a smooth experience and setting them up for long-term success.
• Manage client communications and proactively resolve operational escalations.
• Support creation of internal enablement content so commercial and ops teams can confidently manage import/export flows.
• Define and monitor performance and product adoption metrics in alignment with key stakeholders, including Global Ocean BU and Account Management.
• Prepare analysis and presentations for monthly/quarterly business and partner reviews.

You should have:

• A BA/BS degree and 2–4+ years of experience in logistics, supply chain, program/project management, or consulting.
• Strong written and verbal communication skills in both Vietnamese (native) and English (business level).
• Excellent stakeholder management skills with the ability to build trust, influence cross-functionally, and work across cultures.
• Commercial awareness and strategic thinking, with the ability to turn insights into action.

The Opportunity

As a Senior Air Operations Associate, you’ll handle complex airfreight cases while guiding a small team to deliver consistent, high-quality execution. This role is ideal for experienced operators ready to step into leadership — solving problems, coaching teammates, and driving process improvements to build the next generation of operations leaders in Vietnam.

What You’ll Do

In this role, you’ll keep our airfreight operations running smoothly while leading a small team to deliver great results. You’ll solve problems, guide teammates, and make sure shipments move on time with accuracy and care.

• Coordinate and implement airfreight operations aligned with company strategy, global policies, and customer requirements.
• Act as the first escalation point for all shipments exceptions
• Coach and mentor team members to ensure SOP compliance, productivity, and continuous improvement.
• Maintain high data accuracy and milestone updates in Flexport systems to meet KPIs and SLAs.

What We’re Looking For

• Bachelor’s degree in Logistics, Supply Chain, Business, or a related field.
• 3–7 years of experience in freight forwarding, or logistics operations.
• Strong understanding of air freight processes and import/export handling.
• Fluent in Vietnamese; comfortable communicating in English (written & spoken).
• Experience coaching or mentoring junior teammates.
• Detail-oriented, proactive, and able to handle multiple shipments under pressure.

The Role: We are seeking an Admin & Event Executive for our Vietnam offices based in Ho Chi Minh City. The successful candidate will assist in our office administration and operations tasks, including but not limited to the following key responsibilities:

• Liaise with Legal, HR, Compliance and Accounting departments to process vendor/supplier agreements, invoices, contracts and other official documents
• Accounting support: monthly payable account checking and payment request, approval for payment in Workday, working with Accounting team for everyday accounting matters, support employees on expense claim process and other related issues
• Support recruitment coordination and campus recruitment activities in terms of logistics preparation for HCMC office
• Collaborate and provide support on employee benefit/welfare office social engagements, training events, other company events and driving some of these events as agreed
• Collaborate with Vietnam operations and support team to instill process cohesiveness/improvement
• Monitor, control, and procurement of office supplies and ensure timely maintenance of office equipment
• Manage on-boarding and off-boarding tasks
• Handle visa and work permit processes, including coordinating applications, managing documentation, and ensuring compliance with relevant regulations.

What You’ll Bring:
