You will ensure the integrity of our data, provide world-class support to our US-based employees, and act as the primary guardian of our time-tracking accuracy. Reporting to the Director of Payroll, you will be instrumental in processing multi-state payroll across 15+ jurisdictions.

Your Impact on Career Team’s Success:

● Ticketing & SLA Management: Act as the "Tier 1" support for all payroll inquiries via Freshservice. You will be responsible for triaging tickets, providing accurate responses, and ensuring all inquiries are resolved within our established Service Level Agreements (SLAs).

● Precision Data Management: Review and audit employee timecards for regular hours, OT, and various leave codes. Load batches and perform the critical "first review" of payroll registers to catch variances before they happen.

● ADP Power User: Maintain and update ADP Workforce Now to reflect changes in labor laws, tax jurisdictions, and employee status.

● Garnishment Administration: Set up and manage garnishments in compliance with US federal and state requirements.

● Employee Experience: Act as the first point of contact for payroll-related inquiries, resolving issues with empathy, speed, and professionalism.

● Reporting & Insights: Generate weekly/monthly headcount summaries and requested reports for audits to help leadership make data-driven decisions.

What You Bring:

● Experience: 2–3 years of specialized payroll experience, specifically handling US-based payroll (understanding US tax cycles is a must).

● Technical Chops: Proven experience with a Payroll System, such as ADP Workforce Now or Kronos/UKG. Intermediate Excel skills (VLOOKUPs and Pivot Tables are daily tools).

● Ticketing Experience: Proven experience using Freshservice, Zendesk, ServiceNow or a similar ticketing platform. You must understand the importance of ticket status, priority levels and SLA countdowns.

● Adaptability: Comfortable working 10:00 PM – 7:00 AM PHST to align with US Eastern/Central time zones.

● Communication: Exceptional verbal and written English, with the ability to explain complex pay issues to US employees.

Salary range from 45-70,000 PHP month, depending on experience

Key Responsibilities

Team Leadership & Development

• Team Leadership & Development

People Management: Lead and manage a team of Quality Analysts, providing the coaching, support, and professional development necessary to meet performance targets.

• Individual Development Plans: Conduct at least bi-monthly 1-on-1 career coaching sessions to help team members bridge skill gaps, focusing on competencies like advanced RCA, stakeholder management, and policy expertise.
• Onboarding & Upskilling: Oversee the onboarding of new Quality staff and collaborate with the Training team to address upskill/cross-skill needs based on quality performance.
• Conflict & Dispute Resolution: Serve as the final arbiter for internal audit disputes and technical calibration variances that cannot be resolved at the Quality Analyst level. Handle internal and external escalations through the standard processes within the agreed turnaround time.

Quality Governance 

• Sampling Audit Management:  Oversee the full 360-degree sampling cycle—from defining the sampling logic and verifying statistically significant data sets to managing the appeal process and final analysis. Ensure the Quality Team’s compliance with the sampling volume requirements.
• Executive Reporting: Support the Quality Manager during WBR, MBR, and QBR sessions, translating complex audit data into high-impact "Executive Summaries" and “Path to Green” or “Get Well” strategies.
• Internal Quality Alignment:  Lead cross-functional Quality Meetings for each Line of Business (LOB) to drive performance visibility. This includes deep dives into key metrics— Audit Completion Rate, Quality Scores, Critical Errors —while ensuring all teams are aligned on the latest policy or quality guidelines updates, organizational changes, and auditor accuracy (ATA) results.
• Audit the Auditor (ATA): Execute the "checks on the checker" framework to maintain audit standardization and eliminate auditor bias across the team.
• Operational Alignment: Spearhead Weekly Meetings with Operations and Training Teams to align on upskilling needs and action plans, based on quality trends.

Policy Documentation: Maintain and update internal "huddle" documents or monitoring guidelines upon receiving clarifications from the client, ensuring a seamless cascade to all stakeholders.

Required Qualifications

• Education: A bachelor's or College degree is standard. Senior High School graduates may be considered with at least 6 months of BPO experience.
• Experience: Typically 3 years of Quality Assurance experience in a BPO setting. Experience in the same program is highly desirable.
•  Skills: 
• Good leadership skills
• Strong knowledge of QA fundamentals, principles, and methodologies.
• Excellent analytical skills and  proven ability to perform Defect Analysis, Trend Analysis, and Root Cause Analysis (RCA) to identify "The Why" behind the numbers
• Ability to distinguish between an "Individual Error" and a "Systemic Policy Gap" and correlate with Operational KPIs.

Ability to translate complex data sets into "Executive Summaries" and "Path-to-Green" strategies for stakeholders.

• Good stakeholder management skills
• High proficiency in Google Sheets/Excel (macros, complex formulas, pivot tables) and Slides/PPT to create high-impact visual dashboards for WBR, MBR, and QBR presentations.
• Familiarity with Google Analytics

• Language: Exceptional English communication skills (written and verbal) to confidently represent the Quality department in meetings with internal and external stakeholders.

The Intraday Performance Specialist is primarily responsible for Market/Site performance on workforce efficiency metrics (service levels, abandonment rates, handling times) and overall market and site optimization.

Main Responsibilities:

• Monitor and ensure alignment (planned vs. actual) of incoming volumes of customer requests per time interval, inventory of the individual work pools, personnel availability per time interval.
• Interpret and assess any deviation of incoming volumes of customer requests per time interval against forecasts and mitigate any deviation by a request to increase or decrease staffing as appropriate.
• Independent initiating counter measures to secure the defined service level and the optimal personnel productivity, i.e.: independent prioritization during the processing of customer enquiries, independent intraday rescheduling of the employees, taking into account the incoming volumes as well as the individual skills of the employees.
• Creation, preparation and development of daily reports e.g.: demand calculations, analysis of contact reasons, employees statistic (e.g. distribution of break times), daily closing mails
• Proactively identifying and reporting issues impacting Teammate productivity – partnering with Operations and other Support Functions in communicating and managing the impacts to both our Customers and Teammates
• Partnering with the business to make judgment calls and decisions to deliver the optimal levels of service and productivity - demonstrating responsibility and professionalism in balancing customer and shareholder needs.
• Preparing analysis and insights for the business to enable robust decision making that will ultimately improve efficiency and performance in a customer focused way
• Analyzing and understanding Productivity, Shrinkage, Occupancy, Attrition and Staffing trends in partnership with other members of the WFM team
• Partnering with Long Term Forecasting and Work Force Planning Teams to enable alignment of long and short term forecasts.
• Analyzing current processes and proactively recommend changes to improve.
• Assisting with ad-hoc projects or assignments as required

Requirements:

• BS/BA degree in related field required or the equivalent professional experience
• At least two years professional experience in the area of call centers (as call center employee, 2nd Level, Intraday Performance Coordinator, Real-time Analyst or Workforce Management background
• Good knowledge of the work contents and technical backgrounds (dependencies, framework parameters of the execution processes, technical conditions etc.) at the location general
• Good knowledge of the in-house processes in the specialist departments and in the WFM at the location, i.e.: which targets have to be met, are there agreed workflows between executives and employees, which key figures are established in the specialist department
• Good knowledge of the used systems within the scope of the execution of the daily tasks: Genesys, Nice, Avaya, e-WFM and other related workforce management software
• Good MS Office knowledge with at least an intermediate knowledge in Microsoft Excel or Google Spreadsheets
