About the Team

Our Wolt Workplace team runs our offices, to ensure our workplaces’ functionality, comfort, safety, sustainability and efficiency. Our Workplace Managers in-country ensure that our offices are properly set up for collaboration and focus as well as ensuring that our smaller satellite locations are appropriately supported and well-equipped, and that workplace programs cater to a diverse population of onsite and remote employees. In partnership with our Workplace Operations team we aim to remove any and all friction in the physical space that prevents our employees from being their most successful. 

You’ll be responsible for the Workplace Experience and Operations for our Romanian offices, running things on the ground and creating functional and efficient workplaces for employees and guests. You’ll be based in Bucharest and have remote responsibility for our much smaller satellite offices in Cluj & Timisoara, too. 

The Role:

Wolt is looking for a Workplace Manager who will report to the Regional Workplace Manager and work out of our Bucharest Office . 

It’s an exciting time to be part of our team in Romania, where Tazz has just joined Wolt and we are in process of creating our new offices in Bucharest and Timisoara. You will work together with the global Real Estate & Facilities teams and help relocate our site in Bucharest in 2025 and then help move and shape our new workplace experience and site operations. The person in this position must be a creative problem solver; adept at handling multiple tasks concurrently. Combining People, Technology, and Space across our Office and Serviced Office locations to create an exceptional workplace experience for our Employees, Visitors and Contractors whilst ensuring an optimal use of resources. You will need to possess the ability to take thoughtful initiative and the desire to go above and beyond. Offering an exciting and fast-paced work environment, we are looking for a committed, hands-on, customer-focused individual with the ability to keep pace with our dynamic growth. 

What you’ll be doing:

• You are the primary point of contact / Directly Responsible Individual to landlords, vendors and local stakeholders for all workplaces within your country, which includes our main office in Bucharest and smaller satellite office in Timisoara & Cluj;
• Day-to-day implementation of policies, procedures, and programs that assure well-managed, well-maintained building/s with a focus on functionality, comfort, safety, sustainability and efficiency;
• Lead all workplace programs, including but not limited to food & beverages, lockers, mail services, space planning, reception experience, and workplace technology;
• Manage all site-specific workplace projects and initiatives to improve the workplace by writing playbooks, operationalizing guidelines, and physically improving the office;
• Streamline accessibility of our offices and services ensuring spaces and services are easy to navigate and use, automating and innovating to enable self service where it makes sense;
• Promote a high level of employee satisfaction by ensuring prompt responses to the concerns and needs of the occupants, environmental, health and safety, and quality programs. Ensure the same level of service from team members and Workplace vendors;
• Working alongside local and global stakeholders, develop and maintain a detailed understanding of Wolt’s business and key factors influencing their service requirements;
• Build strong relationships with business leaders and local teams to understand their business functions and how to deliver workplace experience strategies that support them;
• Coordinating the activities, financials, vendors, and staffing required for current and future needs of the building, infrastructure and operations including owning the country facilities operating budget;
• Establish, maintain and manage vendor relationships and implement clear KPIs and contract management processes to ensure efficient service agreements are met;
• Leading and managing the local workplace team members including coaching, training and development of up to two direct reports (number depending on the size of location/s);
• Provide information and training to Vendor Partners including Receptionists and Facilities Managers on Wolt values and practices;
• On-site stakeholder liaison during planning and construction of office expansions;
• Responsible for space planning, tracking, move coordination, and new hire space accommodations;
• Manage the planning, execution, and post-event reporting of team onsite events and support ad-hoc company-wide event needs in the local office. Creating and communicating processes for employees to self manage large internal events, and coordinating workplace specific event related tasks such as workplace activation initiatives, cleaning, room setup and building specific protocols;
• Collaborate with Global Real Estate, Facilities, IT, Safety, Security and Sustainability teams to roll out global policies and initiatives Woltwide.

What we’re looking for:

• Multi-year experience in Office, Workplace or Facilities Management in a global organization within a fast-paced and high growth environment;
• A strong understanding of local Facilities Management & Workplace regulation; 
• Strong and passionate Customer focus;
• Proven Vendor Management experience;
• Ability and willingness to travel in order to properly support all locations in-Country (especially during office relocations and openings);
• Site wide Event Management experience a bonus;
• Enjoy taking ownership and solving problems independently and proactively;
• Excellent written and verbal communication skills in English and the local language;
• Ability to work autonomously in a fast-moving environment, strong relationship building and stakeholder management skills, and a true growth mindset to consistently learn and develop skills;
• Willing to participate in First Aider and Fire Warden Training and ready and willing to provide assistance in an emergency ;

JOB OVERVIEW

As a Project Manager, you will place the customer at the center of everything we do, making their journey simple, valuable, and delightful. This role is focused on helping the customer implement Legion within budget and in time. During implementation, you will be prioritizing tasks, developing project plans, reporting to senior managers, liaising with customers, and attending customer meetings. The goal of the position is to ensure implementation milestones are accomplished on time and achieve business results for our customers. 

RESPONSIBILITIES AND DUTIES

• Manage multiple concurrent projects, leading all implementation project phases
• Ensure a smooth implementation and adoption of the Legion platform, providing a seamless journey and business results that drive customer success
• Manage the work delivered by the project team and ensure it meets Legion quality standards
• Create professional customer-facing presentations such as Project Kick-off, User Acceptance Testing Kick-off, executive decks and more
• Lead and facilitate discussions and workshops with the customer
• Oversee project management documents, tools and methodologies including but not limited to risk management, change management, scope management, success criteria
• Define, manage, and deliver on customer expectations throughout the implementation process
• Work with teams within Legion to ensure implementation timelines and support SLAs are met
• Recommend best practices for using Legion to help store managers and team member’s to get the most from their Legion investment 
• Advocate customer needs within Legion to ensure the product continues to improve on behalf of your customer
• Be familiar with compliance and labor laws and how they impact customers
• Complete ongoing education to further develop the skills and knowledge necessary for continued success, including industry trends, technology and the Legion product

• Manage changes to the project scope / timelines with change orders and SOWs, working with Solution Architects to validate the change
• Own project escalations, working with Principal Consulting Manager and Customer Success Manager in support of the customer
• Manage the relationship and coordinate activities across Legion, vendor and customer teams
• Communicates upcoming release themes and dates to the customer

REQUIRED SKILLS AND QUALIFICATIONS

• 3+ years experience of enterprise software implementation program and project management
• Workforce Management and/or Retail experience
• Advanced PMP, CAPM or similar certification holder
• Experience with Agile scrum-based project management
• Experience leading implementation partners on a project
• Experience presenting at Executive Steering Committee meetings
• Organized and plans for customer meetings to get effective outcomes and ensure the customer is on track in the project plan
• Polished English language communicator, persuasive presenter, fast on your feet, and innately organized; Superb negotiation and diplomacy skills 

PREFERRED QUALIFICATIONS AND ATTRIBUTES

• Strong background in WFM system deployment methodology and processes
• Experience in operating environments in retail, hospitality, restaurant or other industries  to understand and identify labor challenges that Legion solves
• Experience establishing or improving a Project Management Office (PMO) leveraging AI

Technical Account Manager (TAM)

As a Technical Account Manager (TAM), you will work closely with our customers, build relationships with them, help them achieve their technical goals, and overcome technical challenges.

The Technical Account Manager (TAM) serves as a trusted technical partner to customers, acting as the primary point of contact for technical guidance, system optimization, and issue coordination after implementation.  The TAM works closely with customer System Administrators and internal teams to understand business processes, ensure effective system configuration, and help customers maximize value from the platform.

Key Responsibilities 

Named Technical Contact

• Serve as the dedicated technical resource for assigned customer accounts
• Partner with customer System Administrators to understand business processes, workflows, and system configurations
• Maintain deep familiarity with each customer’s environment, priorities, and use cases

Product Expertise & Consultation

• Act as a product expert, providing guidance, best practices, and technical consultation
• Translate customer business needs into system configuration and optimization recommendations
• Support customers in understanding platform capabilities, limitations, and tradeoffs

Issue Facilitation & Support Oversight

• Provide oversight and coordination for customer support tickets
• Own or directly manage highly technical or complex issues as needed
• Effectively escalate critical and urgent issues, partnering with Support, Engineering, and Product teams to drive resolution

Readiness & Enablement Management

• Ensure customers are prepared for and leveraging new product features

Trusted Advisor & Relationship Management

Preferred Qualifications and Skills

• Workforce management (WFM) consulting and integration experience
