Our client, The East African Crude Oil Pipeline (EACOP) project is a Midstream development located across Uganda and Tanzania that includes a nearshore Marine Storage and Export Terminal (MST). Once completed, the EACOP Company will operate the East African Crude Oil Pipeline, a 1,443 km long, electrically heated crude oil export pipeline that transports oil from Kabaale Hoima in Uganda, to the Chongoleani Peninsula near Tanga Port in Tanzania for crude export to the international markets.
The job holder oversees general administration; secretarial and related logistics matters for the Field Operations personnel of the EACOP in Dar Es Salaam / Tanga. The Team Assistant is also accountable for demonstrating exemplary behavior regarding HSSE rules and requirements. Daily activities are essentially standard assistant tasks but there are several other subjects to deal with, such as, but not limited to, handling the Tanzania’s administrative tasks, be the focal point for the follow up of expatriate staff and other tasks as required.
Requirements
The team assistant will oversee general administration; secretarial and related logistics matters for the Field Operations personnel of the EACOP in Dar Es Salaam / Tanga. The Team Assistant is also accountable for demonstrating exemplary behavior regarding HSSE rules and requirements. Daily activities are essentially standard assistant tasks but there are several other subjects to deal with, such as, but not limited to, handling the Tanzania’s administrative tasks, be the focal point for the follow up of expatriate staff and other tasks as required.
In accordance with the policies and procedures in place in EACOP, The Team Assistant is responsible for:
- Invoices and vendor management.
- Assistance on EACOP administration Management.
- Call off creation for contracts.
- General assistance to all EACOP Project team members in their day-to-day activities.
- Responsible for all Field Operations staff permits and travel bookings.
- Management of all Operations Director and Field Manager tasks (agendas, time sheets, travel arrangements, expense reports, etc.).
- Planning and organizing internal and external meetings, seminars, workshops and social events (dinners, cocktails, exhibitions, etc.).
- Taking, preparing, distributing & filing minutes of meetings as required.
- Assisting in the preparation of internal and external presentations as required.
- Assisting in the preparation and distribution of reports as required.
- Proactively anticipate needs for meetings and office requirements (e.g. food and beverages, office supplies, calls for maintenance, updating of various lists, etc.).
- Pick-up and distribution of mail.
- Set up meetings and appointments with local government entities and representatives as well as other external stakeholders.
- Coordinate all issues pertaining to Field Operations expatriate settlement into the country (visas, permitting, housing arrangements, utilities follow up in the various housings, etc.). In that respect, be the first point of contact with the EACOP staff working on these matters.
- Set up a filing system for all documents that require formal conservation (invoices, leases, official letters sent & received, etc.).
- Mission expenses management (mission orders, mission expenses,).
- Carry out any other duties or tasks that may be required by the job position.
Academic Qualifications:
• Bachelor’s degree in business administration, psychology, or communications or equivalent
Experience Required:
• Minimum 5 years of relevant professional experience
• Proficiency in Microsoft Office Applications: Outlook, Excel, PowerPoint & Word
• Fluency in English and Swahili
• Good communication skills
• Excellent time management and organizational skills.
• Rigorous, proactive and with an analytical mindset
