The Centre for Information Resilience (CIR) is a UK-based non-profit organisation. We use open-source investigations to counter disinformation, expose human rights abuses and war crimes, and combat online harms targeting women and minorities.

About Sudan Witness

In response to the outbreak of armed conflict within Sudan in April 2023, CIR started to actively monitor, document and verify human rights interferences and conflict dynamics on the ground.

In addition to providing verified and trustworthy information, the Sudan Witness project preserves open-source digital information relating to the conflict and its impact on civilians.

Sudan Witness focuses on documenting harm to populations, damage to infrastructure, hate speech and incitement to violence, and conflict-related sexual violence (CRSV). It is also building partnerships with Sudanese organisations reporting on and responding to these issues.

Role details: Project Coordinator

Contract Type: Contractor

Contract length: ASAP until 31 March 2027 (with possibility of extension dependant on funding)

Hours needed for this role: An average of 15-18 working weekdays per month (depending on fee rate), including expected time off.

Location:  Kampala

Closing date for this role: 5th August at 23:55pm

Overview of the Role

As a Project Coordinator, you will be assisting, alongside the Project Director and Project Manager, in the administrative management of the project helping to meet deadlines, increase efficiencies, and ensure donor compliance.

 

Main responsibilities and required experience

Project Coordination, Delivery and Grant Management

  • Support the Project Manager in the development of project plans, defining deliverables, and refining project management arrangements and quality assurance procedures.
  • Support tracking project progress and rapidly identifying and escalating any issues impeding delivery.
  • Support to Monitoring, Evaluation and Learning activities for the project through collection of MEL data, survey management and tracking of progress of project outputs and deliverables.
  • Manage the project’s group calendar and develop procedures to organize team meetings and movements.
  • Work with the Project Manager to generate spending reports and budget forecasts.
  • Work with the Project Manager to identify and assess project risk and issues and develop mitigation and resolution strategies.
  • Facilitate onboarding processes, including reference checks, contract and grant management, policy adherence and the distribution of necessary templates and materials.
  • Support the Project Manager in the management of grants to external civil society organisations, through scheduling of regular progress update meetings, tracking grant outputs and activities.
  • Support the Project Manager to develop grant agreements and provide thorough review of grant budgets, spend reports, payment requests/invoices and narrative reporting received from grantees.
  • Develop supportive and conflict sensitive professional relationships with external partners
  • Foster cross-team collaboration to help project team members complete project tasks and produce deliverables.
  • Manage the project’s online storage system and communication channels.
  • Organise the translation of project outputs as needed (English to Arabic and vice versa).

 

General Administrative Support

  • Track project members’ timesheets and expenses, and help keep relevant organisational spreadsheets updated.
  • Assist in planning travel, including flight bookings, hotel reservations, and train ticket purchases.
  • Work with team members to ensure timely and correct submission of timesheets on a monthly basis.

Liaison and Events

  • Assist CIR staff during team trips, including managing relationships with suppliers and vendors. 
  • Serve as point of contact for the project to all suppliers and vendors.
  • Help manage set up of workshops, conferences, and other related events.
  • Offer organisational support for skills-sharing and capacity strengthening workshops for NGO partners and project participants.

Requirements

Required qualifications and skills

  • Fluency in English
  • Demonstrable experience in project coordination or related roles
  • Demonstrable experience in grant management or related roles
  • Experience either in a voluntary or professional capacity in human rights, development, peacebuilding, humanitarian, charity or related sector
  • Excellent organisational and time management skills
  • Strong attention to detail and problem-solving abilities
  • Effective communication and interpersonal skills
  • Experience planning workshops and events, organising logistics
  • Excellent writing skills

Highly desired qualifications and skills

  • Understanding of open-source research and geopolitical issues
  • Experience working with multi-stakeholders, including development partners, government agencies and or civil society organisations
  • Experience related to Sudan
  • Arabic language skills
