The Payroll Specialist is responsible for supporting payroll operations by ensuring the accurate and timely processing of payroll while providing exceptional customer service to employees regarding payroll-related matters. This role partners closely with Human Resources and Finance to maintain accurate payroll records, audit payroll data, ensure compliance with applicable regulations, and support continuous process improvements
Key Responsibilities
- Process payroll accurately and on schedule.
- Review employee time records and resolve discrepancies with managers or Human Resources as needed.
- Process payroll updates, including new hires, terminations, pay rate changes, and other employee status changes.
- Verify payroll calculations, including taxes, garnishments, paid leave, benefits deductions, and other withholdings.
- Ensure payroll processes comply with federal, state, and local regulations while maintaining strict confidentiality.
- Maintain accurate payroll records and prepare payroll-related reports, including quarterly tax reports and other reports as needed.
- Collaborate with Human Resources to ensure employee records are current and accurate.
- Respond to employee payroll inquiries in a professional and timely manner.
- Educate employees and managers on payroll procedures and policies when appropriate.
- Participate in payroll audits and process improvement initiatives.
- Monitor and manage shared payroll communications, ensuring inquiries are routed appropriately.
- Perform other payroll-related duties as assigned.
Requirements
Education
- High school diploma or equivalent required.
- Associate's or Bachelor's degree in Business, Accounting, Human Resources, or a related field is preferred.
Experience
- 2–3 years of payroll processing experience as a Payroll Specialist, Payroll Coordinator, or similar role.
- Experience processing multi-state payroll is preferred.
- Experience using payroll systems such as UKG, Paycom, or similar platforms.
- Experience with Microsoft Office, particularly Excel.
- Data analysis experience is a plus.
Knowledge, Skills & Abilities
- Strong understanding of payroll processes, accounting fundamentals, and payroll best practices.
- Knowledge of payroll laws and regulatory compliance.
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and handle sensitive information.
- Effective verbal and written communication skills in English.
- Strong customer service and problem-solving skills.
- Ability to work in a fast-paced environment while managing multiple priorities.
