This is much more than a traditional reception role. You'll be at the centre of our workplace, ensuring colleagues, clients and candidates feel welcomed from the moment they arrive, while also taking ownership of the day-to-day running of the office. From keeping our workspace looking its best to solving practical problems and supporting company events, you'll play a key role in creating an environment where people can do their best work.

Requirements
The Opportunity
As our Office & Reception Coordinator, you'll be the first person people meet and one of the people they rely on most throughout the day. Whether you're welcoming visitors, setting up meeting rooms, coordinating contractors or spotting improvements to the office before anyone else notices them, you'll take real ownership of the workplace experience.
No two days are the same. You'll balance front-of-house responsibilities with facilities coordination, administration and event support, working closely with our Office Experience Manager to ensure everything runs smoothly behind the scenes.
What You'll Be Doing
• Providing a warm, professional welcome to clients, candidates and colleagues, creating an outstanding first impression.
• Managing reception, meeting rooms and shared spaces, ensuring they're always organised, well-stocked and presentation-ready.
• Coordinating meeting room bookings, catering and AV set-up for internal and external meetings.
• Managing incoming calls, post, deliveries and visitor enquiries efficiently and professionally.
• Supporting colleagues with day-to-day administrative tasks, including access passes, expenses and general office requests.
• Helping to deliver company events, including our weekly Friday meetings, ensuring everything runs seamlessly.
Alongside reception responsibilities, you'll also:
• Take ownership of day-to-day facilities issues, identifying problems quickly and seeing them through to resolution.
• Work with building management, contractors and cleaning teams to maintain a safe, welcoming and high-quality office environment.
• Monitor and replenish office supplies, refreshments and stationery.
• Support the set-up of workstations and equipment for new starters.
• Assist with health and safety activities, including acting as a Fire Marshal and supporting office compliance.
• Continually look for ways to improve the workplace experience for colleagues and visitors.
Who We're Looking For

You'll likely bring:
• Experience in a reception, front-of-house, workplace, hospitality or office support role.
• A naturally warm, approachable and professional communication style.
• Strong organisational skills and the ability to manage multiple priorities at once.
• A proactive mindset, taking ownership and spotting what needs doing before being asked.
• Confidence solving practical problems and coordinating solutions with internal teams or external suppliers.
• High attention to detail and pride in maintaining exceptionally high standards.
• Good working knowledge of Microsoft Office, particularly Outlook, with the confidence to learn new systems quickly.
• Flexibility and a willingness to get stuck in wherever support is needed.
Most importantly, you'll be someone who believes no task is too small if it helps create a better experience for someone else. You'll take genuine pride in your work, think beyond simply completing tasks, and constantly look for ways to improve how our office operates.
