Williams Parker, the region's largest and oldest law firm founded in 1925, is seeking an exceptionally polished, discreet, and service-minded Client Services Coordinator to support our Real Estate practice.
This opportunity is ideal for a consummate professional who brings the poise, judgment, responsiveness, and exacting attention to detail associated with luxury hospitality, private banking, high-end real estate, executive support, or similarly refined client service environments. The successful candidate will play an essential role in delivering a seamless, white-glove client experience while supporting attorneys in sophisticated real estate transactions and relationship management.
Within the Real Estate practice, the Client Services Coordinator serves as a trusted point of coordination and a client-facing ambassador for the Firm, helping attorneys move matters forward with precision, facilitating communication among clients and transaction participants, and ensuring every interaction reflects Williams Parker’s highest standards of service.
Essential Responsibilities
As a member of the Real Estate team, you will:
- Deliver an exceptional client experience by serving as a primary point of contact for clients and transaction participants, anticipating needs and delivering a polished, discreet, and highly attentive service experience.
- Coordinate sophisticated real estate transactions by working closely with attorneys, clients, lenders, title companies, brokers, surveyors, and other stakeholders to manage logistics, deadlines, and closing deliverables.
- Manage matter administration and information flow by maintaining matter records, facilitating conflict checks, opening new matters, proofreading correspondence and transaction materials, and coordinating signatures and notarizations.
- Provide executive-level support to attorneys through calendar management, meeting coordination, correspondence, time entry, billing support, and related administrative activities.
- Demonstrate professionalism, discretion, and sound judgment while handling confidential information, anticipating needs, and contributing to a collaborative, high-performing, and service-oriented team culture.
Requirements
QUALIFICATIONS
- Educational background preferred, ideally including a bachelor's degree in business administration, hospitality management, communications, legal studies, or a related field.
- Professional certification beneficial, including Certified Legal Assistant (CLA), Florida Registered Paralegal (FRP), or a similar credential, although certification is not required.
- Client-facing experience preferred, with three or more years of success in law, professional services, real estate, financial services, hospitality, luxury sales, executive support, or another elevated service environment; sales experience is beneficial, though not required.
- Professional presence and service excellence, demonstrated through exceptional communication, organization, and follow-through skills, with a refined professional presence and commitment to delivering an outstanding client experience.
- Technology and business acumen, including proficiency with Microsoft Office Suite, Adobe Acrobat, and other business technology platforms; experience with Qualia or similar real estate closing software is a plus.
WORK ENVIRONMENT
Williams Parker’s culture is rooted in collaboration, discretion, and highly personalized service. This is a full-time, hourly, non-exempt position requiring regular in-person attendance at our downtown Sarasota office, with occasional travel to our Waterside Lakewood Ranch office.
