The Receptionist / Switchboard Operator has the responsibility to deliver a friendly, efficient customer service and to create a warm and welcoming atmosphere for employees and guests.
- Takes responsibility for the reception area, ensuring the reception area is tidy and presentable.
- Receives and welcome Guests and advise the relevant internal stakeholders of the guest/visitor’s arrival timeously.
- Answers, screens and redirects incoming calls.
- Routes emergency calls, forwarding them to the appropriate internal stakeholders, ensuring that the call reaches the appropriate person.
- Performs administrative duties such as typing, capturing and updating information on the relevant systems.
- Sorts mail and packages when required.
- Manages all logistics relating to public meeting rooms.
- Ensures that detailed messages are passed on to relevant persons immediately.
- Screens walk-in clients/guests.
- Establishes and maintains an electronic/manual diary for scheduled appointments.
- Handles queries related to the company’s products, services and/or people.
- Performs any other related task as required.
- Proactive individual with a positive attitude towards work.
- Displays interpersonal skills used to deal effectively with internal and external stakeholders.
- Ability to exercise sound judgement and display the ability to deal effectively with conflict.
- Excellent telephone etiquette.
- Excellent communication skills and able to listen effectively.

- Relevant secondary qualification or equivalent
- Relevant demonstrated working experience in a similar position.
- Relevant demonstrated working experience in a related environment.
- Relevant demonstrated experience handling a multi-line switchboard.
