About this Receptionist / Office Administrator role at Valard Construction
Our Corporate team is currently looking to add a Receptionist to the team, based in Edmonton, AB.
Reporting to the Executive Assistant, this position is the operational heartbeat of our Edmonton office. We are seeking an energetic and organized professional who thrives on keeping things running smoothly, enjoys working with people, and takes pride in creating a welcoming and functional work environment. It ensures the day-to-day workplace runs smoothly and efficiently, from managing supplies and meeting logistics to supporting employee onboarding and company-wide swag distribution. This is a highly visible, hands-on role suited to someone who is positive, thrives on keeping things organized, enjoys working with people, and takes pride in creating a welcoming and functional work environment.
Duties and Responsibilities
Office Operations & Facilities
- Monitor office supply inventory and coordinate timely ordering and replenishment
- Report on facility, maintenance, and workspace issues to building management and ensure timely follow-up
- Ensure meeting rooms, reception areas, common spaces, and storage areas always remain organized and presentable
Event & Meeting Support
- Coordinate catering, meal deliveries, and meeting logistics for executives, staff, and visitors
- Support office events, town halls, employee engagement activities, and internal office initiatives
- Assist with office communications, employee activities, and company events
Reception & Communications
- Answer, screen, and direct incoming phone calls in a professional manner
- Manage incoming and outgoing parcels, courier shipments, and package distribution
Employee Support & Onboarding
- Support onboarding of new employees by coordinating desk setup, office access, equipment readiness, seating assignments, and workplace orientation
- Maintain accurate employee headcount records by department, office location, and seating allocation
- Update and manage office floor plans to reflect employee moves, new hires, vacant workstations, and organizational changes
Administrative & Finance Support
- Provide administrative and operational support to the Edmonton office administrative team
- Support PNC reconciliation processes by reviewing transactions, receipts, expense coding, and supporting documentation for accuracy and completeness
Requirements
- 3 years of experience as an office coordinator, administrative assistant, or in similar role
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Professional communication skills, both written and verbal
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel)
- Ability to handle confidential information with discretion
- Demonstrated ability to navigate ambiguity and adapt to shifting priorities while maintaining a positive, solutions-focused attitude
Preferred Skills / Qualifications
- Experience supporting onboarding processes or HR administrative functions
- Familiarity with expense reporting, PNC reconciliation, or similar financial processes
- Experience coordinating events, catering, or corporate logistics
