The LBA Coordinator supports the coordination of Licensed Behavior Analysts and clinical teams to help ensure that ABA services are properly scheduled, documented, monitored, and supported operationally.

This role serves as a bridge between clinical staff, administrative teams, families, and other stakeholders, helping maintain smooth communication and timely completion of clinical and operational requirements.

Key Responsibilities

  • Coordinate schedules and assignments for Licensed Behavior Analysts and other clinical team members.
  • Monitor caseloads, service schedules, and availability to support appropriate staffing.
  • Coordinate communication between LBAs, behavior technicians, families, and internal operational teams.
  • Track required assessments, treatment plans, progress reports, supervision requirements, and other clinical documentation.
  • Monitor deadlines for clinical documentation, authorizations, reassessments, and related requirements.
  • Follow up with clinical staff regarding outstanding or incomplete documentation.
  • Assist with coordinating new cases, staff assignments, schedule changes, and transitions between providers.
  • Maintain accurate and up-to-date case and provider records.
  • Track service delivery and identify scheduling or staffing gaps that may affect continuity of care.
  • Escalate clinical, staffing, scheduling, or documentation concerns to the appropriate leadership.
  • Support communication regarding authorization status, service availability, and case requirements.
  • Assist with audits, reporting, and quality-control activities.
  • Maintain confidentiality of client, family, and clinical information.
  • Support process improvements that increase efficiency and continuity of ABA services.

Requirements

  • Bachelor's degree in Psychology, Applied Behavior Analysis, Healthcare Administration, Human Services, Business Administration, or a related field preferred.
  • 2+ years of experience in ABA, behavioral health, healthcare coordination, case coordination, clinical administration, or a similar environment.
  • Experience working with BCBAs/LBAs, RBTs, behavior technicians, or other clinical providers strongly preferred.
  • Familiarity with ABA terminology, treatment plans, clinical documentation, and service coordination.
  • Strong understanding of scheduling, case management, and administrative coordination.
  • Excellent organizational and follow-up skills.
  • Strong verbal and written communication skills.
  • Ability to coordinate with multiple stakeholders while managing competing priorities.
  • Strong attention to detail and ability to maintain accurate records.
  • Comfortable handling confidential and sensitive information.
  • Proficiency with Microsoft Office, Google Workspace, spreadsheets, and healthcare/clinical management systems.
  • Ability to work independently while collaborating effectively with clinical and administrative teams.

Minimum Technical and Work Environment Requirements:

  • Internet Connection:
    • Primary internet connection with a minimum speed of 15 Mbps.
    • Backup internet connection with at least 10 Mbps.
    • Backup connection must be capable of supporting work during a power outage.
  • Primary Device:
    • Desktop or laptop equipped with at least:
      • Intel Core i5 (8th generation or newer)Intel Core i3 (10th generation or newer)AMD Ryzen 5, or an equivalent processor.
      • A minimum of 8 GB RAM.
  • Backup Device:
    • Must meet or exceed the performance of an Intel Core i3 processor.
    • Must be functional during power interruptions.
  • A functioning webcam.
