The DCX Client Services - Home-Based Cut & Sew Production Coordinator keeps factory communication, sourcing, quotations, samples, timelines, and project updates organized. Serving as the operational link between Heavenly Studios’ internal team and overseas factory partners, this person ensures that requests are followed through, records remain current, and risks are surfaced before they affect quality, cost, or delivery.

This is a coordination-focused role. The coordinator gathers accurate information, documents communication, prepares clear internal updates, and escalates decisions appropriately.

WHAT YOU WILL DO 

Factory Communication

• Manage daily communication with current and prospective factories and communicate that to the Cut & Sew Specialist.

• Use Alibaba, WhatsApp, email, and approved channels; send concise requests; confirm important details in writing; follow up consistently; and record each outcome.

Schedule Coverage + Risk

• Support communication across Chinese factory hours and Heavenly Studios’ U.S. hours while protecting quality, cost, timing, and confidentiality.

• Work a flexible split schedule with dependable overlap on both sides, document supplier performance, avoid unsupported promises, and escalate significant concerns before commitments are made.

Team Updates

• Give the internal team clear, timely visibility into factory activity.

• Summarize status, completed actions, confirmed facts, open questions, risks, decisions needed, and next steps; keep communication logs, quote files, factory profiles, and sample records organized.

Project Tracking

• Keep each project current from sourcing through production and delivery.

• Update the tracker after every material change; monitor quotes, samples, revisions, approvals, deposits, production, inspection, shipping, and delivery dates; follow up before deadlines; and escalate risks early.

Samples + Specs

• Coordinate product specifications, sample development, revisions, and approvals. Double check everything with the mockups.

• Send the latest tech packs, measurements, fabrics, colors, labels, trims, decoration, and packaging instructions; require written acknowledgment; and maintain version-controlled feedback and approvals.

Product Sourcing

• Find and qualify new factories for apparel, accessories, packaging, and custom products.

• Search Alibaba and approved sources, compare capabilities, verify requirements, request quotations or samples when directed, and present the strongest options with clear concerns and next steps.

Pricing + Quotes

• Collect complete, comparable quotations and organize cost information for review.

• Confirm unit costs, minimums, sample fees, setup charges, materials, packaging, and quoted shipping details; flag missing costs, unclear assumptions, and changes before presenting a comparison.

Factory Tracking

• Maintain a current record of every factory and supplier relationship.

• Track contacts, capabilities, products, pricing history, minimums, samples, lead times, responsiveness, quality history, and relationship status in the approved factory database.

WHAT WE LOOK FOR 

• Education: Bachelor's degree in Marketing, Communications, and Business Administration, or any related field.  

• Experience: 1-2 years of direct Promotional, Customer Service, or Order Management role.  

• Language Proficiency: Strong verbal, written, and English communication skills. 

• Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.  

• Technical Skills: Comfortable using Alibaba and WhatsApp for business communication.

• Comfortable maintaining detailed spreadsheets or databases

• Experience using Google Workspace is an advantage.

• Industry Specific Software/Knowledge:   

• Ability to compare supplier quotations and follow written processes.

• Experience with cut-and-sew apparel, overseas manufacturing, product development, purchasing, sourcing, or production coordination is strongly preferred.

• Familiarity with fabrics, garment construction, trims, labels, packaging, tech packs, measurements, minimum order quantities, sample development, production lead times, quality-control terminology, and international shipping is valuable.

• Experience coordinating factories in China or other overseas manufacturing regions would be an advantage.

• Experience supporting a United States-based apparel or consumer-products company would be an advantage.
