About this Executive Assistant Cum Corporate Communications Officer role at TopFloor
Our Client in the Tertiary Education Sector is looking to hire an Executive Assistant Cum Corporate Communications Officer who will provide high-level executive, administrative and communication support to the Vice Chancellor.
The successful candidate will serve as a key coordination point within the Office of the Vice-Chancellor, ensuring that the Vice-Chancellor's priorities, correspondence, meetings, engagements and institutional commitments are effectively managed and followed through. The successful candidate will also support the University's corporate communications and public relations function by coordinating official statements, speeches, stakeholder communications, media-related matters and other sensitive institutional communications. The successful candidate must have exceptional discretion, judgement, writing ability, organisation and the ability to operate confidently with senior internal and external stakeholders.
Key Responsibilities
A. Executive Support
- Manage the Vice-Chancellor's diary, appointments, meetings, engagements and official commitments.
- Coordinate meeting schedules, agendas, briefing materials and supporting documentation for the Vice-Chancellor.
- Review and prioritise correspondence, requests and invitations directed to the Office of the Vice-Chancellor.
- Draft, review and prepare correspondence, memoranda, letters and other documents on behalf of the Vice-Chancellor.
- Ensure that the Vice-Chancellor is adequately briefed ahead of meetings, ceremonies, stakeholder engagements and institutional events.
- Record key decisions and action points arising from meetings involving the Vice-Chancellor and follow up with responsible offices to ensure implementation.
- Maintain an effective system for tracking commitments, deadlines, directives and outstanding matters from the Office of the Vice-Chancellor.
- Coordinate communication between the Vice-Chancellor's Office and senior management, schools, departments and other University units.
- Handle confidential and sensitive information with the highest level of discretion.
- Assist with the coordination of official travel, visits, delegations and engagements involving the Vice-Chancellor.
B. Corporate Communications and Public Relations
- Support the development and implementation of the University's corporate communication strategy.
- Draft and coordinate official institutional communications including notices, statements, announcements, responses and stakeholder correspondence.
- Prepare speeches, talking points, briefing notes, forewords, messages and presentations for the Vice-Chancellor.
- Provide communication support during sensitive institutional matters, emerging issues or situations with potential reputational implications.
- Ensure that communications issued by the University are clear, accurate, professional, timely and consistent with the University's institutional position.
- Advise the Vice-Chancellor and senior management on the communication implications of key institutional decisions where appropriate.
- Support the preparation of responses to students, parents, partners, regulators, members of the public and other stakeholders where matters require senior-level institutional communication.
- Coordinate media enquiries and facilitate appropriate responses in consultation with University Management.
- Develop and maintain relationships with relevant media and external communication stakeholders where required.
- Monitor traditional and digital media for issues relating to the University and escalate significant reputational matters to Management.
C. Institutional Reputation and Stakeholder Engagement
- Support initiatives aimed at strengthening and protecting the University's corporate reputation.
- Assist in coordinating communication surrounding major University developments, partnerships, graduations, conferences, institutional milestones and other strategic activities.
- Support stakeholder engagements involving government institutions, regulatory bodies, diplomatic missions, industry partners, universities and other strategic partners.
- Maintain consistency in institutional messaging across high-level communications.
- Identify emerging communication or reputational risks and advise the Vice-Chancellor accordingly.
- Assist in preparing communication responses and briefing material during crisis or issue-management situations.
D. Coordination with Marketing and Other Departments
- Work closely with the Marketing Department to ensure alignment between institutional communications, brand messaging, advertising and public engagement.
- Coordinate with relevant departments to obtain accurate information before institutional communications are issued.
- Ensure that matters requiring executive communication are distinguished from routine marketing, advertising and student recruitment activities.
- Support Marketing in communicating significant institutional achievements, partnerships, research, appointments and events where executive-level input is required.
- Liaise with Student Affairs, Academic Affairs, Human Resources, Quality Assurance, the Hospital, Schools and other units on communications requiring institutional coordination.
Requirements
- Bachelor's degree in Public Relations, Communications, Journalism, Business Administration, Management, Marketing, English, International Relations or a related field.
- A Master's degree in these fields is preferred
- Minimum of 5 years' relevant professional experience, preferably in executive support, corporate communications, public relations, stakeholder engagement or a related environment.
- Demonstrated experience supporting senior executives or working closely with senior management.
- Strong experience in professional writing, correspondence preparation and stakeholder communication.
- Experience within higher education, government, corporate institutions or similarly complex organisations will be an added advantage.
- Experience handling confidential, sensitive or reputational matters will be highly desirable.
