About the Role

Are you an accurate and proactive professional with a keen eye for detail and a passion for process optimization? If so, we are looking for a Customer Services Officer.

This versatile position can be filled on either a full-time or part-time basis (24-40 hours per week) and offers the opportunity to make a significant contribution to our operational performance. You will be responsible for processing, monitoring, and administratively managing both customer orders and repair orders, from order acceptance through to delivery.

You will play a crucial role in the order fulfillment and repair processes and actively contribute to achieving operational excellence. Working closely with colleagues from Sales, Service, Operations, Supply Chain, Engineering, and Logistics, you will help ensure an outstanding customer experience and reliable delivery performance.

What Will You Do?

Order and Repair Processing

  • Process, monitor, and follow up on sales and repair orders.
  • Prepare quotations for repairs and monitor the progress of repair assignments.
  • Ensure accurate and complete processing of order and repair data within the ERP system (SAP).
  • Act as the first point of contact for customer inquiries regarding repairs, orders, and delivery schedules.
  • Perform follow-up activities and maintain customer records.

Planning and Order Fulfillment

  • Create internal work orders and ensure accurate configuration, production, and shipping information.
  • Update planning and production systems and contribute to a reliable Master Production Schedule.
  • Monitor agreed delivery dates and lead times for standard products, spare parts, and repairs.
  • Escalate bottlenecks and issues to relevant stakeholders and management in a timely manner.

Reporting and Administration

  • Maintain product and order-related data.
  • Ensure digital archiving and traceability of production and repair documentation.

Collaboration and Continuous Improvement

  • Collaborate closely with Sales, Service, Operations, Supply Chain, Product Engineering, A&T, Logistics, and Trade Compliance.
  • Support the Order Processing Officer role during absences and serve as a backup when required.
  • Identify opportunities for improvement in process quality, costs, lead times, and customer satisfaction.

What Do You Bring?

  • MBO/HBO level of education and thinking (vocational college or bachelor's degree level).
  • 2 to 4 years of relevant experience in a similar administrative, order management, or supply chain role.
  • Experience with ERP systems, preferably SAP.
  • Good knowledge of Microsoft Office, especially Excel.
  • Affinity with data, reporting, and cost calculations.
  • Knowledge of trade compliance processes is an advantage.
  • Strong communication skills and a customer-focused mindset.
  • Proactive, independent, and quality-oriented working style.
  • Highly accurate and detail-oriented.
  • Good command of English, both written and spoken.
  • Ability to work effectively with various disciplines within an international organization.
