Job Description

REPORTING RELATIONSHIP

Reports to: Head of RFP Operations, Global Client Solutions (Los Angeles)

PRIMARY FUNCTIONS & RESPONSIBILITIES

  • Update and maintain fundraising data sets across multiple sources using Excel, Power BI, and generative AI tools.
  • Perform content updates and data governance processes within the firm’s Content Management System (CMS), ensuring accuracy, consistency, and scalability of information.
  • Coordinate quarterly updates of qualitative and quantitative statistics across internal systems, leveraging automation tools where possible to streamline workflows.
  • Partner with RFP team members and cross-functional stakeholders to procure data, supporting documentation, and responses for RFPs, RFIs, and DDQs.
  • Leverage generative AI tools and prompt engineering techniques to draft, refine, and standardize responses, improving efficiency and consistency across submissions.
  • Identify and implement automation opportunities (e.g., AI tools, scripts, workflow tools) to reduce manual effort in data updates and content maintenance.
  • Build a strong understanding of the firm’s products and investment strategies to support inbound data and content requests.
  • Manage multiple concurrent priorities across time zones, ensuring timely and high-quality deliverables.
  • Assist with development and maintenance of Excel Connector files for Salesforce reporting and downstream processes.

QUALIFICATIONS

Education: 

  • A Bachelor’s degree is required, preferably with a major in Accounting, Economics, Political Science, Finance, General Business or Management, and outstanding academic achievement.

Experience Required:  

  • 2-4 years of financial industry experience in investor operations, reporting, or RFP/DDQ processes.
  • Demonstrated ability to work with structured and unstructured data, with a strong focus on accuracy and data integrity.

General Requirements:  

  • Experience using generative AI tools (e.g., ChatGPT, Copilot, or similar) in a professional setting to support content creation, research, or workflow efficiency.
  • Familiarity with prompt engineering and the ability to apply AI tools effectively while maintaining data quality, consistency, and compliance standards.
  • Exposure to automation and data tools (e.g., Power BI, Alteryx, VBA, Python, SQL, or similar) with a demonstrated interest in improving processes through technology. (Python/SQL positioned as value-add, not requirement)
  • Strong problem-solving skills with the ability to research solutions and leverage available tools and resources.
  • Highly organized with the ability to manage multiple concurrent assignments in a deadline-driven environment.
  • Comfortable working with detailed firm data (personnel, AUM, fund statistics, etc.) and translating it into clear, structured outputs.
  • Strong written and verbal communication skills, including professional email communication with internal stakeholders.
  • Experience with formatting and styling documents (Word, Excel, PDF).
  • Collaborative mindset with strong interpersonal skills and ability to work across global teams.
  • Strong work ethic with proactive ownership of deliverables and progress reporting.
  • Salesforce reporting and dashboard creation experience preferred.
  • Experience with proposal management software and Power BI is a plus.
