Job Role: AI Automation Specialist
Compensation range: $2,000 AUD - $3,000 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.
Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.
Who The Client Is: They are a growing property business involved in property development, property management, lettings and property investment. They manage a range of property-related operations, from development and contractor coordination through to lettings, compliance, property transactions and financial management. As the business continues to grow, they are investing in AI and automation to streamline operations, improve visibility and reduce repetitive administrative work.
Role Overview: We are looking for an experienced AI Automation Specialist to design, build and improve AI-powered systems across the business. You’ll work closely with the founder to understand operational challenges, translate business processes into practical technical solutions, connect multiple platforms and build reliable AI agents and automations that monitor operations, process information, identify actions and exceptions, and keep the right people informed.
The role will initially focus on discovery, architecture and building core workflows, with the opportunity to progressively take ownership of a broader AI and automation function across the group.
Key Responsibilities:
- Map business processes and identify opportunities to improve efficiency through AI, automation and better systems.
- Design, build and deploy AI agents and automated workflows across multiple areas of the business.
- Build a connected operational layer across executive operations, property development and contractors, lettings and compliance, property transactions/conveyancing, and finance and cash control.
- Develop an executive-level control system that consolidates material risks, overdue actions, decisions and business-critical issues across the wider operation.
- Build workflows to monitor development projects and contractors, including progress, delays, variations, payments, documents, commitments and supporting evidence.
- Develop automation for lettings and compliance, including certificates, deadlines, deposits, reconciliations, client-money activity and unusual transactions.
- Build workflows to monitor property purchases, sales, refinances and conveyancing, including solicitors, brokers, lenders, deadlines, missing documents, inactivity and required follow-ups.
- Develop finance and cash-control workflows covering cash-flow visibility, liabilities, debt, committed expenditure and unusual or duplicate transactions.
- Connect and synchronise information across platforms such as Microsoft 365/Outlook, Monday.com, Xero, WhatsApp and property management systems using APIs, webhooks and other reliable integration methods.
- Build structured data flows across properties, projects, transactions, companies, clients, contractors, documents, tasks, communications and payments.
- Automate reporting, alerts, follow-ups, management briefings and exception reporting to improve operational visibility.
- Design appropriate human approval workflows for sensitive decisions, payments, contractual commitments, legal matters and external communications.
- Progress workflows from read, monitor and draft capabilities towards controlled write actions as reliability is proven.
- Test systems thoroughly, including edge cases and failure scenarios, and implement appropriate error handling, retries, logging and monitoring.
- Continuously monitor and improve the reliability, accuracy and performance of deployed AI agents and automations.
- Document system architecture, workflows, integrations and key decisions to support future development.
- Assess each automation opportunity and recommend AI, deterministic automation or a combination of both based on reliability and business value.
Requirements
- Must have 3–5+ years of hands-on experience building AI automations, workflow systems, integrations or similar technical solutions.
- Strong practical experience with n8n or similar workflow automation platforms.
- Hands-on experience with OpenAI API, Anthropic/Claude API or other LLM APIs.
- Strong understanding of REST APIs, webhooks, JSON and OAuth/API authentication.
- Strong experience with JavaScript and/or Python.
- Experience working with databases and SQL, including structured data and relationships.
- Strong understanding of LLM tool/function calling, structured outputs and AI workflow design.
- Experience with RAG/knowledge retrieval and connecting AI systems to business data.
- Strong understanding of error handling, retry logic, logging, monitoring and system reliability.
- Experience building workflows with human-in-the-loop controls, permissions and auditability.
- Experience integrating business platforms such as Microsoft 365, Outlook, Monday.com, Xero, WhatsApp/Meta, CRMs or property management systems is highly advantageous.
- Familiarity with Git/GitHub and good technical documentation practices.
- Strong understanding of business processes, with the ability to turn ambiguous operational problems into practical technical solutions.
- Commercially minded and able to determine when AI is appropriate versus when a simpler, deterministic automation would be more reliable.
- Proactive and comfortable working independently, taking ownership from discovery and architecture through to implementation and ongoing improvement.
- Comfortable working directly with a founder or senior stakeholder and challenging inefficient processes when there is a better way to solve them.
