Overview:

Position Summary

The Advancement Data Officer is responsible for maintaining accurate database records to support alumni and fundraising engagement. The role also provides support for bulk email communications, data extractions and imports, data integrity, analysis and cleansing and contributes to CRM improvement projects. It requires strong attention to detail and administrative skills ensuring accuracy and completeness of tasks.

The Advancement Data Officer is a member of a small team and will be required to assist with the operational requirements of the Advancement Team. We are looking for a candidate who can ideally work 15-20 hours per week.

Key Accountabilities

  • Maintain up-to-date alumni and donor information in The Raiser’s Edge, including ad hoc data entry and reviewing bulk data updates, regular and ad hoc data cleaning, and merging duplicate records.
  • Investigate discrepancies and anomalies using multiple source systems, including matching LinkedIn profiles to graduate records and confirming duplicate matches.
  • Updating business details, address and geographic locations to align to projects and segmentation.
  • Respond to general enquiries from Advancement team under the direction of the Associate Director, Advancement Services.
  • Respond to data requests, using The Raiser’s Edge data tools.
  • Assisting with other administrative tasks as requested by the Associate Director, Advancement Services.

Key Selection Criteria

1. Experience in an administrative role preferably in a university environment.

2. Strong level of IT skills including proficiency in database systems, CMS and processes. Experience with Raiser’s Edge is an advantage.

3. Demonstrated competence in Microsoft Office applications, particularly Access and Excel.

4. Well-developed interpersonal and communication skills with customer service experience.

5. Demonstrated organisational and time management skills and the ability to handle various and multiple functions simultaneously and under pressure, including the ability to prioritise tasks and work to deadlines.

6. Demonstrated experience in problem solving

7. Strong attention to detail with high accuracy and speed.

8. Proven ability to work independently and as part of a team.

Working with Children Check

Appointment to this position is subject to holding a valid Victorian Working with Children Check and other checks as required by the specific role. Maintaining a valid Working With Children Check is a condition of employment at RMIT.
