Position Overview 

The Staff Accountant is a core member of Calibrant's accounting team, responsible for the accurate and timely execution of day-to-day accounting operations: journal entries, balance sheet and bank reconciliations, accounts payable, and customer invoicing support. This role is central to delivering a clean, on-time monthly close, and works directly with our external auditors on the schedules and workpapers that support it. 

You will work in a multi-entity NetSuite OneWorld environment with an automated AP workflow, on a team that is actively modernizing how the function operates. This is a hands-on, high-visibility seat with a defined path forward for people who perform. 

We are looking for someone precise, organized, and genuinely curious — a person who not only clears their assigned reconciliations but asks why the difference was there in the first place. 

 

Principal Duties and Responsibilities 

Month-End Close & Reconciliations 

  • Prepare assigned journal entries for the monthly close, ensuring correct account, subsidiary, and period coding within the established chart of accounts. 
  • Prepare balance sheet reconciliations for assigned accounts, with clear documentation of every reconciling item and a plan to clear it. 
  • Perform bank reconciliations across multiple operating, project, and restricted-cash accounts. 
  • Prepare recurring accruals, prepaid amortization, and fixed asset and depreciation schedules for assigned entities. 
  • Research and clear assigned close exceptions before the close deadline, escalating anything unresolved rather than letting it roll forward. 
  • Prepare intercompany entries and support the reconciliation of intercompany balances across entities. 

Accounts Payable & Vendor Management 

  • Process vendor invoices through the automated AP workflow, confirming accurate coding to account, entity, and project, and routing for approval under the established approval matrix. 
  • Review invoices for mathematical accuracy, contract or purchase-order agreement, and confirmation that goods or services were received. 
  • Set up and maintain vendor master records, including collection of W-9 and banking documentation, with appropriate verification controls. 
  • Reconcile vendor statements and resolve discrepancies, short-pays, and aged items. 
  • Prepare accounts payable aging reports and recommend payment runs based on due dates, discount terms, and cash availability. 
  • Serve as a responsive first point of contact for vendor inquiries, maintaining strong working relationships and resolving issues promptly. 
  • Process and audit employee expense reports for policy compliance and correct coding. 

Customer Invoicing & Collections Support 

  • Coordinate with the Asset Management team to produce accurate and timely customer invoices. 
  • Verify invoice supporting documentation against contract terms and reconcile billed amounts to the general ledger. 
  • Maintain the accounts receivable aging, apply cash receipts, and support collections follow-up on past-due balances. 

Audit, Compliance & Reporting Support 

  • Prepare schedules, reconciliations, and supporting documentation requested by external and internal auditors, and respond to follow-up questions on your own workpapers. 
  • Compile the data extracts and account-level schedules that feed management reporting, budgeting, and lender or sponsor reporting packages prepared by others on the team. 
  • Support sales, use, and indirect tax filings and other recurring compliance deliverables as assigned. 
  • Maintain organized, referenced, and reviewable documentation for every entry and reconciliation you prepare. 

Systems & Process Improvement 

  • Work day-to-day in NetSuite and the AP automation platform, and flag data or workflow issues rather than working around them. 
  • Partner with the VP of Accounting and senior team members to document and improve recurring processes, and to reduce manual effort in the monthly cycle. 
  • Contribute to reconciliation and close-automation initiatives as the team's systems footprint matures. 

 

Requirements

Qualifications   

Required 

  • Bachelor's degree in Accounting, Finance, or a related field. 
  • 1–3 years of accounting experience, in public accounting or industry. 
  • Solid working knowledge of US GAAP and standard accounting practice, including accruals, prepaids, and fixed assets. 
  • Hands-on experience with an accounting system (NetSuite, SAP, Oracle, QuickBooks, or comparable) and strong Excel skills, including lookups and pivot tables. 
  • Demonstrable attention to detail. In this role, an entry coded to the wrong entity is a real problem, and we will ask you how you prevent it. 
  • Strong organizational and time-management skills, with the ability to hold multiple deadlines inside a close calendar. 
  • Clear, professional written and verbal communication with internal teams, vendors, and auditors. 
  • Comfort in a fast-paced, evolving environment, with the judgment to ask rather than assume. 
  • Authorized to work in the United States on a permanent basis. Calibrant Energy does not provide visa sponsorship for this role, now or in the future. 

Preferred 

  • CPA licensed, or actively sitting for the exam. We provide exam fee, materials, and study time support. 
  • Experience in energy, renewables, infrastructure, construction, or another growth-stage or project-based business. 
  • Multi-entity or multi-currency experience, including intercompany transactions. 
  • Exposure to an AP automation platform (Medius, Coupa, Bill.com, or similar) or a reconciliation tool such as BlackLine. 
  • NetSuite OneWorld experience specifically. 

 

What Success Looks Like   

We are explicit about expectations. In your first year, we expect to be able to say the following: 

  • First 30 days — you are processing AP independently with accurate coding, and your first close cycle is complete with support. 
  • By 90 days — you own your assigned reconciliations and close entries end to end, delivered on the close calendar without reminders. 
  • By six months — you are a reliable first preparer across close, AP, and audit support, your workpapers pass review with minimal comment, and you are identifying process fixes rather than only executing steps. Strong performers here move up; we will talk about that path directly with you.
