About the Role

Deliver reliable, compliant, and employee centric HR services for AIA China employees as assigned by team leader and head. This role is the frontline face of HRSSO—executing end to end Employee Services transactions (onboarding/offboarding, employee data changes, document management, benefits/social insurance & housing fund coordination, case/knowledge management), ensuring accuracy, timeliness, and privacy compliance. The Specialist partners closely with HRBPs, COEs, Payroll, and vendors, and proactively drives self service adoption via Workday and standardized SOPs to elevate employee experience and operational efficiency.

Roles and Responsibilities:

1) Employee Lifecycle & Case Management

  • Handle day‑to‑day HR inquiries via approved channels; achieve SLA on first‑contact resolution and escalation pathways.

  • Execute lifecycle transactions for the targeted internal clients: onboarding, probation, transfers, promotions, personal data changes, leaves/attendance adjustments, and separations, ensuring Workday data accuracy and evidence completeness.

  • Coordinate pre‑boarding and day‑1 logistics with vendors or local teams.

  • Manage exit processes and ensure payroll input cutoff compliance.

2) Payroll Inputs & Statutory Programs

  • Prepare and validate HR/payroll inputs (allowances, overtime, deductions, taxable items) for the assigned service group; reconcile with supporting evidence.

  • Liaise with designated vendors for PRC social insurance or any other related regulatory updates, to ensure timeliness and accuracy per city rules.

  • Support benefits enrollments, and mass changes; maintain daily controls and audit trails.

3) Data Integrity, Controls & Privacy

  • Maintain high‑quality HR master data in Workday; perform self‑checks and peer reviews to reduce rework/defects.

  • Uphold PIPL‑aligned practices: purpose limitation, minimum necessary data, secure transfer/storage, retention & disposal; promptly escalate suspected data incidents.

  • Follow standardized SOPs/knowledge articles; contribute to continuous SOP updates and knowledge base improvements to drive deflection to self‑service.

4) Employee Documents & Records Management

  • Collect, verify, and digitize employment documents; manage e‑filing and physical records per retention policies.

  • Prepare employment‑related letters (employment verification, income proof, probation confirmation, transfer/separation letters) per templates and approval workflows.

  • Manage local chop/stamp processes for the covered cities as per assigned if any by team leader.

5) Vendor & Onsite Coordination

  • Coordinate with approved vendors to ensure SLA adherence and service quality.

  • Provide necessary HR SSO support for new site launches, hiring events, audits/inspections, townhalls, and peak periods (e.g., payroll close, annual cycles) if assigned by leader or needed.

6) Continuous Improvement & Reporting

  • Track and report service metrics (case volumes, SLA, error rates); identify root causes and propose corrective actions.

  • Support standardization across cities; surface local regulatory nuances and recommend “one best way” solutions.

Minimum Job Requirements:

Education & Experience

  • Bachelor’s degree preferred; 3–5+ years of HR operations or HR shared services experience supporting PRC locations.

  • Hands‑on experience with Workday HCM (and ideally Workday Help/Assistant or similar case/knowledge platforms).

  • Exposure to payroll input processes and PRC social insurance/housing fund operations.

Technical/Regulatory Knowledge

  • Solid understanding of HR lifecycle processes and PRC labor practices; working knowledge of PIPL principles for HR data.

  • Proficiency in MS Excel/Sheets and familiarity with ticketing/case tools; comfort with dashboards and basic reporting.

  • Document management and records retention discipline; attention to detail and internal control mindset.

Skills & Competencies

  • Customer‑centric, empathetic communicator with strong problem‑solving and de‑escalation skills.

  • High accuracy and time management in multi‑city, high‑volume environments; able to meet strict cutoff timelines.

  • Collaboration and stakeholder management across HRBPs, COEs, Payroll, and vendors.

  • Languages: Mandarin Chinese (native/fluent) required; Business English for systems, documentation, and cross‑functional communication.

Other Requirements

  • Availability for peak period coverage (e.g., payroll cutoffs, annual cycles) and occasional off‑cycle demands.

  • Relevant certifications a plus.
