Job Summary
The Workplace Coordinator is responsible for the day-to-day operation and maintenance of workplace infrastructure, ensuring that all building systems operate efficiently, safely, and reliably. This role oversees HVAC systems, including chillers and AHUs, Building Management Systems (BMS), electrical panels, and coordinates preventive and corrective maintenance activities to support uninterrupted business operations.
Key Responsibilities
Technical Operations
· Monitor and maintain HVAC systems including Chillers, AHUs, FCUs, and ventilation systems.
· Operate and monitor Building Management System (BMS) for alarms, trends, and equipment performance.
· Inspect electrical LT panels, UPS systems, DG synchronization (if applicable), and power distribution systems.
· Monitor critical utilities including temperature, humidity, pressure, and energy consumption.
· Ensure uninterrupted operation of critical infrastructure and respond promptly to system failures.
Preventive & Corrective Maintenance
· Plan and execute preventive maintenance schedules for HVAC and electrical systems.
· Coordinate breakdown maintenance with vendors and service providers.
· Ensure timely resolution of technical issues with minimum downtime.
· Verify maintenance quality and maintain service records.
Vendor & Contractor Management
· Supervise HVAC, electrical, housekeeping, pest control, and other facility contractors.
· Ensure contractors comply with safety procedures and work permits.
· Evaluate contractor performance and ensure SLA compliance.
Workplace Management
· Ensure office infrastructure is safe, clean, and operational.
· Coordinate workspace modifications and facility improvements.
· Support employee requests related to workplace facilities.
· Monitor meeting rooms, cafeteria, common areas, and office equipment.
Safety & Compliance
· Ensure compliance with EHS, Fire & Life Safety, and statutory regulations.
· Participate in emergency response and evacuation drills.
· Maintain documentation for audits and regulatory inspections.
· Ensure all equipment operates within prescribed safety standards.
Documentation & Reporting
· Maintain maintenance logs, inspection records, and asset registers.
· Generate daily, weekly, and monthly facility reports.
· Track energy consumption and recommend efficiency improvements.
· Monitor AMC schedules and warranty records.
Asset Management
· Maintain inventory of critical spares and consumables.
· Coordinate procurement of maintenance materials.
· Track lifecycle and replacement planning for facility equipment.

Qualifications
· Diploma/B.E./B.Tech in Mechanical, Electrical, or Electrical & Electronics Engineering.
· 5–8 years of experience in technical facilities management, commercial buildings, data centers, or corporate workplaces.
· Experience with HVAC systems, BMS operations, and electrical infrastructure is preferred
