Overview
We are seeking an experienced Project Coordinator 4 to support procurement operations for the Virginia Retirement System (VRS). This role will coordinate procurement projects, manage intake activities, maintain accurate documentation, track deadlines and deliverables, and facilitate communication among procurement staff, internal departments, and suppliers.
This is a hybrid contract opportunity based in Richmond, Virginia, with three required in-office days each week.

Job Description
The Project Coordinator supports the procurement department by coordinating projects from intake through completion, maintaining accurate documentation, tracking timelines and deliverables, and serving as a central communication link among procurement staff, internal departments, and suppliers.
The position plays an important role in managing the procurement intake process, coordinating departmental workload and priorities, and helping identify opportunities to improve processes, tools, and workflows. The Project Coordinator will use SharePoint and other technology solutions to organize information, increase visibility into procurement activities, and support efficient management of departmental resources while ensuring activities are completed consistently and in accordance with organizational policies and applicable regulations.
Responsibilities
Procurement Project Coordination
- Coordinate procurement projects from intake through completion.
- Track project milestones, deadlines, dependencies, deliverables, and potential risks.
- Schedule project and stakeholder meetings and maintain appropriate project documentation.
- Document decisions, action items, responsibilities, and required follow-up activities.
- Support procurement activities to ensure projects progress efficiently and consistently.
Procurement Intake & Workflow Management
- Manage the procurement intake process, including reviewing, prioritizing, and routing requests.
- Coordinate with the Procurement Director to determine appropriate resource assignments and priorities.
- Help organize departmental workload and improve visibility into active and upcoming procurement activities.
- Monitor outstanding activities and provide consistent follow-through to support timely completion.
SharePoint & Process Improvement
- Use SharePoint to track procurement project status, deadlines, dependencies, and risks.
- Help develop and implement a SharePoint-based tool for tracking procurement intake and project status.
- Organize procurement information to improve visibility, accountability, and workflow management.
- Identify opportunities to improve departmental processes, tools, and workflows through effective use of technology.
Communication & Collaboration
- Serve as a central point of contact among internal departments, procurement staff, and suppliers.
- Provide timely project updates and follow up on outstanding activities.
- Coordinate closely with the Procurement Director regarding workload, priorities, and procurement requests.
- Maintain clear, accurate, and organized communication throughout the procurement lifecycle.
Requirements
The successful candidate must demonstrate strong project coordination, procurement workflow, SharePoint, communication, organization, and follow-through capabilities. The role requires the ability to work independently while coordinating effectively with the Procurement Director and other internal and external stakeholders.
Requirements
Minimum Qualifications
- Minimum 3 years of experience coordinating procurement projects from intake through completion, including tracking milestones, scheduling meetings, and documenting decisions and action items.
- Minimum 3 years of experience serving as a central point of contact for internal departments, procurement staff, and suppliers, including providing timely updates and follow-up.
- Minimum 3 years of experience managing procurement intake processes, including reviewing, prioritizing, and routing requests following coordination with procurement leadership.
- Minimum 3 years of experience tracking project status, deadlines, dependencies, and risks using SharePoint.
- Minimum 3 years of experience helping develop and implement SharePoint tools for tracking intake activities and project status.
- Minimum 3 years of experience coordinating projects, processes, or administrative operations, preferably within procurement or a related business function.
- Minimum 3 years of demonstrated experience organizing information and creating tools that improve visibility, accountability, and workflow management.
- Minimum 3 years of experience demonstrating strong attention to detail and consistent follow-through.
- Minimum 3 years of experience working independently while effectively coordinating with procurement leadership.
- Must be able to work on-site in Richmond, Virginia on Tuesday, Wednesday, and Thursday each week.
- Must physically reside within the United States for the duration of the assignment in accordance with Commonwealth of Virginia security policies.
- Must be legally authorized to work in the United States without employer sponsorship, now or in the future.
