We are looking for a detail-oriented and customer-focused Order Management Executive with 1–4 years of experience, preferably within the pharmacy, pharmaceutical, healthcare, or medical retail industry. The candidate will be responsible for managing the complete order lifecycle, from order processing and inventory coordination to dispatch, delivery tracking, and issue resolution.
The ideal candidate should have a strong understanding of pharmacy operations, prescription-related order processes, medicine availability, and customer requirements. This role requires excellent coordination skills, accuracy, and the ability to work efficiently in a fast-paced environment.
Requirements
Key Responsibilities
- Manage and process customer orders accurately through internal order management systems.
- Handle pharmacy-related orders, ensuring medicines and healthcare products are processed as per established procedures.
- Verify order details, product availability, quantities, customer information, and other relevant requirements.
- Coordinate with pharmacy, warehouse, inventory, logistics, and delivery teams to ensure timely fulfillment.
- Monitor the complete order lifecycle from order placement to successful delivery.
- Track pending, delayed, cancelled, returned, or failed orders and take appropriate corrective action.
- Coordinate with pharmacists and relevant teams regarding prescription requirements, product substitutions, and medicine availability.
- Maintain accurate records of orders, dispatches, cancellations, returns, and customer issues.
- Address customer queries related to order status, availability, delivery timelines, replacements, and returns.
- Escalate order-related issues to the appropriate teams and ensure timely resolution.
- Monitor inventory availability and coordinate with relevant teams to minimize order cancellations caused by stock shortages.
- Ensure compliance with internal pharmacy processes, quality standards, and applicable operational guidelines.
- Generate and maintain regular reports related to order processing, fulfillment, pending orders, and operational performance.
- Identify recurring order-management issues and suggest improvements to increase efficiency and customer satisfaction.
Must-Have Skills
- Pharmacy / Pharmaceutical Operations
- Good understanding of medicines, healthcare products, and pharmacy order processes.
- Experience in order management, order processing, or pharmacy operations.
- Strong knowledge of order fulfillment and inventory coordination.
- Ability to understand and handle prescription-related requirements.
- Strong attention to detail and accuracy in processing orders.
- Excellent verbal and written communication skills.
- Good coordination and follow-up skills across multiple teams.
- Proficiency in MS Excel, order management systems, or other operational tools.
- Ability to manage multiple orders and priorities in a fast-paced environment.
- Strong problem-solving and customer-handling skills.
Qualifications & Experience
- Graduate in Pharmacy, Life Sciences, Healthcare, Commerce, or a related field.
- 1–4 years of relevant experience in order management, pharmacy operations, pharmaceutical distribution, healthcare operations, or a similar role.
- Candidates with hands-on experience in pharmacy order processing will be preferred.
