The Role of the OC Communication Coordinator

The role of the OC Communication Coordinator is to manage and maintain the communication center database with accuracy and detail, expediting daily guest concerns, by ensuring the integrity of all information being placed in the database, and seeing that they are resolved in a timely and efficient manner, through personalized, professional, and quality service. As the voice of the hotel the Telecommunications Operator ensures that all communication channels operate flawlessly, including the phone and paging system.

Key Functions

• Handle all telephone calls using proper telephone standard

• Take responsibility for logging and resolving all guests complaints immediately

• Ensures the timely and efficient processing of each guest request through the entire process

• Ensures that calls are serviced in an efficient and timely manner

• Read Communications Center log from the previous shift and follow up on all necessary requests

• Responsible for prioritizing of all calls. All safety related calls are to be given priority consideration

• Ensures all calls are routed to the proper person  that is assigned to handle calls that day

• Responsible for the generation and production of the Communications Co-coordinator reports, ability to spot trends and report those trends to management

• Keeps supervisor updated on troubles with the system

• Is able to manage and run the floor in the absence of direct supervision for the shift

• Recognizes and identifies potential areas where existing policies and procedures change, or where new ones need to be developed, especially regarding future business expansion

• Coordinate room changes with Front Office and complete all changes in the system

• Maintain a sound knowledge of the company’s facilities and related services

Preferred Qualifications And Skills

• Excellent written and verbal communication skills

• Strong computer skills

• System knowledge of Opera and HotSOS
