Manager, Planned Giving Operations

Reporting to the Senior Director, Planned Giving, the Manager, Planned Giving Operations serves as the strategic manager of the planned giving infrastructure. This role maintains the technical and compliance framework necessary to sustain a high-growth legacy giving program. The Manager is responsible for the end-to-end lifecycle of deferred gifts, from initial documentation to estate settlement, ensuring data integrity, policy compliance, and donor stewardship. As a key collaborator within Advancement, the Manager bridges the gap between frontline fundraising and technical operations, supervising student staff and managing external vendor relationships to optimize the program's efficiency.

Job Description:

DUTIES & RESPONSIBILITIES:

  • Direct the Planned Giving operational calendar and coordinate the execution of the gift annuity state filing and compliance schedule to ensure the College remains in good standing across all jurisdictions.

  • Oversee the tracking system for the estate and life income gifts process and procedure, including preparing gift booking forms; tracking estate, life income and other gift data in CRM.

  • Serve as the operational liaison to Advancement Services, Finance, and external partners (e.g., State Street Bank, PG Calc), oversee CGA (Charitable Gift Annuity) reporting, and ensure seamless asset transfers.

  • Lead the preparation for internal and external financial audits; synthesize gift data into actionable reports for department leadership and regulatory bodies.

  • Manage the technical aspects of estates and life income gifts, overseeing the creation of gift booking forms and ensuring all documentation aligns with CASE standards, as well as legal and government regulations.

  • Manage specialized logistics for the Vice President and President regarding signature-authority items and notary services for legal gift documents.

  • Ensure data integrity and accuracy, by requesting donor data lists and reports, updating coding, and adding opportunities and activity reports; and reporting and resolving issues in planned giving related areas.

  • Stay current in the field of Planned Giving, particularly government regulations and industry guidelines.

  • Provide logistical support for meetings and events.

  • Train and supervise Barnard students who work in the office as needed.

  • Perform other duties as required and work on related projects as assigned.

  • Proficient with database management and Microsoft Office.

  • Ability to work independently and collaboratively within a team environment; collegial work style. 

  • Ability to adhere strictly to rules regarding confidential information. 

  • Ability to occasionally work outside of standard business hours including some weekends and evenings.

  • Must meet the department’s core values of collaboration, aspiration, transparency, respect, accountability, and trust.

Qualifications:

  • Bachelor’s degree or equivalent experience.

  • Three to five years of related experience, preferably in an academic setting.

  • Familiarity with planned giving industry and CASE standards, and government regulations.

  • Ability to work well under pressure and adapt in a dynamic environment.

  • Ability to organize work and follow through on details.

  • Welcoming, customer-service oriented disposition, and a sense of humor.

Preferred Qualifications:

  • Experience with a fundraising database (Salesforce preferred, but not required).

  • Experience in an advancement setting within higher education.


 

Additional Information:

  • This job is hybrid; a minimum of 3 days in-office weekly, and requires a presence in the office during busy periods, full staff meetings, and events.

|Salary Range: $66,500 - $71,500

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
