An opportunity for an Information and Documentation Management Specialist has arisen within Airbus Defence and Space, Getafe (Madrid). 

RESPONSIBILITIES

Outsourcing

• Generate the DDDs and send them to subcontracting to activate the order request process for said WUs. Previously, the IOS will prepare all the necessary information to place orders, negotiate with suppliers, identify and register the WUs.

• Take charge of monitoring and recording the entire order placement process between the different organizations until the release of the purchase order. Registering internally properly and in a previously established format, all the identifiers of each of the steps until the release of the purchase order.

• Receive the delivery notes and DANs from the subcontractor companies and review their validity with the information provided by the IOS at the beginning of the process and its feedback regarding the achievement of the objectives of said delivery note.

• Prepare the information for the approval process to be carried out by the IOS in C&B

• It would have delegated the actions to be carried out in GESUB for the registration and removal of subcontracted personnel and the management of subcontracting services during the year, as well as renewing them at the end of the year.

• It will be in charge of the creation and follow-up of the MAXIMO for the assignment of the subcontracted sites.

Laboratory equipment monitoring

• Due to the high volume of laboratory equipment within the Domain, rigorous tracking of supplier shipments and receipts across all development iterations is critical to meet our engineering schedule  

Other administrative tasks

• It will be in charge of approving the requests for access to shared folders

• It will be in charge of unsubscribing from shared folders the people who unsubscribe from the domain

• It will be in charge of the follow up activities of the domain budget consumption and delta budget needs.

• It will also have delegated the management of the tickets of the infrastructure management tools, such as MyITSM or ARSI (SW tools) of the IT groups. --> ¿sigue siendo aplicable? 

• Excellent verbal and written communications skills: negotiation English, Spanish;

• Advance usage of Collaboration Tools, i.e Google Suite and Shared Folder structures  

• Logistic and purchase order management in SAP

• Reliability and ability to pay attention to detail
