What this job involves:
As a Facilities Administrator focusing on Front of House (FOH) operations at JLL, you'll be the welcoming face and organizational backbone of our client's facility. This role centers on creating exceptional first impressions while ensuring seamless daily operations across reception, visitor management, meeting room coordination, and workplace services. You'll serve as the primary point of contact for employees, guests, and vendors, managing everything from access control and mail distribution to coordinating building services and maintaining immaculate presentation standards. You'll collaborate closely with facilities teams, building management, and stakeholders to anticipate needs, resolve issues efficiently, and contribute to a workplace environment where everyone feels supported and valued.
What your day-to-day will look like:
- Manage front desk operations including greeting visitors, answering phones, and directing inquiries to appropriate departments while maintaining a professional and welcoming atmosphere
- Coordinate meeting room bookings, setup requirements, and catering arrangements to ensure seamless experiences for internal meetings and client presentations
- Oversee visitor management systems, including registration, badge issuance, and escort coordination while maintaining security protocols and access control procedures
- Handle incoming and outgoing mail, courier services, and package distribution with accuracy and timeliness
- Coordinate with building maintenance teams and vendors to address workplace issues, schedule repairs, and ensure common areas meet presentation standards
- Maintain office supplies inventory, place orders, and manage vendor relationships to ensure uninterrupted workplace operations
- Support workplace experience initiatives and employee engagement activities that strengthen community and collaboration across teams
- Process work orders, track service requests through completion, and communicate updates to stakeholders in a timely manner
- Maintain accurate records, logs, and documentation related to facilities operations, compliance requirements, and service delivery metrics
Required qualifications:
- High school diploma or equivalent required
- Minimum 2 years of experience in front desk, reception, or facilities coordination roles within corporate or commercial environments
- Strong interpersonal and communication skills with demonstrated ability to interact professionally with diverse stakeholders at all organizational levels
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to quickly learn workplace management systems and technologies
- Excellent organizational skills with proven ability to manage multiple priorities simultaneously in a fast-paced environment
- Customer service orientation with a proactive approach to problem-solving and service delivery
- Professional appearance and demeanor with commitment to representing the organization's standards and values
Preferred qualifications:
- Associate degree or relevant professional certification in facilities management, hospitality, or business administration
- Experience working in managed services, corporate real estate, or commercial property environments
- Familiarity with workplace management platforms such as Condeco, Robin, or similar meeting room and visitor management systems
- Basic understanding of building systems, safety protocols, and facilities operations best practices
- Bilingual capabilities to support diverse workplace communities
- Experience supporting workplace experience programs or employee engagement initiatives
