What We Can Achieve Together:
As the Executive and Administrative Assistant, you will provide administrative, office, and meeting support that enables staff and leaders to work effectively and advance chapter priorities. You will coordinate travel, calendars, meetings, events, visitor support, and day-to-day office operations while helping ensure a welcoming, organized, and productive work environment. You will also work closely with chapter staff, leaders, vendors, and internal partners to deliver responsive administrative and operational support.
We offer the ability to work a hybrid schedule. Tuesdays and Thursdays are in-person collaboration days, and you will be required to be in office. In addition to Tuesdays and Thursdays, you will be expected to be in-office an additional 1-2 days/week as agreed upon with your supervisor and based on business needs. (Total of 3-4 days in office per week.)
Specific areas of support include, but are not limited to:
Executive Administrative Support
Providing administrative support for executive leaders including calendar management, meeting scheduling, travel coordination, expense report preparation, document support, and other administrative activities that help leaders operate effectively. Supporting senior leaders with meeting scheduling and documentation.
Office Operations Support
Assisting with day-to-day office operations, equipment and supply management, and vendor-related activities. Providing backup support for office management functions as needed.
Meetings, Events, and Technology Support
Coordinating logistics for meetings and events, including scheduling, room setup, catering, technology preparation, hybrid meeting support, and post-event follow-up.
Staff and Visitor Experience
Serving as a welcoming and responsive resource for staff, guests, and non-chapter colleagues. Helping ensure visitors and employees have the building access, parking, information, resources, and support needed for a positive office experience.
Administrative Systems and Purchasing
Supporting administrative systems and business processes, including expense report processing, technology and office supply ordering, record maintenance, and coordination of purchasing activities.
Operational Coordination
Coordinating assigned activities with internal partners and service providers as needed to address specific administrative, facilities, technology, and office support needs and ensure continuity of services.

What You’ll Bring:
Bachelor’s degree and 1-year experience or equivalent combination.
Experience in business writing, editing, and proofreading.
Experience organizing time and managing various activities to meet deadlines.
Experience working and communicating with a wide range of people.
This position requires a valid driver's license and compliance with TNC’s Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers." Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.
Salary Information:
The starting pay range for a candidate selected for this position is generally within the range of $29.50 – $32.50/hour (based on a 35 hour work week). This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
