As a Contracts Assistant, you will support the management team in coordinating key contracts, liaising with clients, and ensuring the smooth administrative execution of daily operations. 

Key responsibilities include: 

• Managing client portals: Including downloading daily files, updating trackers, saving reports, and amending or closing out jobs.
• Creating job documentation: Issuing work instructions to operatives.
• Managing a planning board: ensuring operatives have instructions and work booked each week.  Working alongside contract managers who are field -based.
• Supporting subcontractor and CRM administration: Raising purchase orders (POs) for subcontractors, updating the internal CRM system, handling data entry, checking reports, and assisting with RAMS (Risk Assessments and Method Statements).
• Liaising with clients: Maintaining professional communication with clients.
• Assisting with financial processes: Collating key figures and data to support the monthly invoicing process.
• Managing team logistics: Coordinating travel bookings for the team and actively participating in departmental meetings.
• Providing ad-hoc support: Undertaking any additional administrative duties as required to support the wider team.

Requirements

Contracts Assistant Requirements:

• Previous administrative experience with good IT skills is essential as training will be provided
• Good attention to detail as you must work with a high degree of accuracy
• Ability to work using your initiative and work well in a fast-paced environment 
• Work well within a team
• Demonstrate excellent customer service and communication skills
• Multi-tasking and organisational skills are key in this role
