Location(s): Remote
Role Type: Part-time 24 hours
Salary: $32.00 per hour + annual performance-based bonus

Summary:
The Client Service Administrator provides administrative and client service support to a fee-based financial planning practice. This role supports financial professionals and leadership by coordinating day-to-day office activities, preparing client materials, maintaining accurate records, and helping ensure a smooth client experience. The ideal candidate is organized, detail-oriented, service-focused, and comfortable supporting multiple priorities in a professional financial services environment.
Responsibilities:
Prepare and organize documents, reports, presentations, and other materials for client meetings and internal discussions.
Maintain accurate client records, files, contact information, and account-related documentation in accordance with firm procedures.
Assist with new business processing, account paperwork, follow-up items, and coordination with internal or external service partners.
Support client communications, including preparing correspondence, responding to routine inquiries, and escalating more complex matters as appropriate.
Coordinate calendars, schedule meetings, track follow-up items, and help ensure timely completion of administrative tasks.
Provide administrative support to leadership and the advisory team, including document management, workflow coordination, and general office support.
Maintain confidentiality and handle client and business information with professionalism and discretion.
Education Requirements:
High school diploma or equivalent required; bachelor’s degree in business, finance, communications, or a related field preferred. Equivalent practical experience in a professional office or financial services environment may be considered in lieu of a degree.
Basic Requirements:
Prior administrative, client service, or office support experience required; experience in financial services, wealth management, or a professional services environment preferred.
Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and follow through on details.
Excellent written and verbal communication skills with a professional, client-focused approach.
Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint; ability to learn internet-based and firm-specific systems.
Ability to work independently in a remote environment while collaborating effectively with team members.
High attention to detail, sound judgment, and ability to maintain confidentiality when handling sensitive client or business information.
