We are looking for an experienced, proactive, and patient-focused Dental Hygiene Coordinator to own the health, continuity, and productivity of our hygiene schedule. This is an active patient-retention and schedule-optimization role, not a passive booking position. The ideal candidate combines the persistence of a high-performing patient-retention professional with strong clinical terminology, PPO insurance knowledge, and exceptional phone-conversion skills. You will proactively identify overdue recare patients, missed appointments, unfinished treatment, and open schedule blocks to move patients smoothly into care while removing financial and scheduling barriers.
Key Responsibilities:
Reactivation & Patient Retention: Consistently run overdue-recare, unscheduled-hygiene, incomplete-periodontal-care, and missed-appointment lists. Conduct high-volume outbound phone calls, texts, and emails using persuasive, patient-centered communication to reconnect patients with preventive and periodontal care.
Schedule Ownership & Quick Fill: Monitor hygiene schedules continuously for gaps and unconfirmed visits. Act immediately on cancellations using a Quick Fill/ASAP list to avoid preventable downtime.
PPO Insurance & Account Guidance: Read insurance breakdowns and ledgers to explain estimated balances, deductibles, frequencies, and coverage limitations clearly to patients without making guarantees.
Hygiene & Periodontal Education: Reinforce documented provider recommendations using clear knowledge of prophylaxis, scaling and root planing (SRP), periodontal maintenance, probing, and adjunctive therapies (e.g., Arestin, fluoride).
Treatment Plan Follow-Up: Review pending treatment plans, chart notes, and family/household accounts to discuss fees, sequencing, and next steps for incomplete care.
Financial Coordination & Collections: Discuss balances, collect co-pays/deposits over the phone when authorized, and present third-party financing options (e.g., CareCredit, Sunbit, Alphaeon, LendingClub).
De-escalation & Service Recovery: Address patient anxieties, complaints, or scheduling barriers empathetically, escalating clinical emergencies or complex concerns according to office protocols.
Software Navigation & Documentation: Maintain accurate notes in the Practice Management System (PMS) after every patient interaction while adhering strictly to HIPAA guidelines
Requirements
Experience: Minimum 2+ years of recent experience in dental front-office, hygiene coordination, treatment coordination, or scheduling (3+ years strongly preferred).
Dental Knowledge: Practical understanding of hygiene, periodontal care, restorative terminology, treatment sequencing, and PPO dental insurance.
Software Skills: Proficiency with dental Practice Management Systems (Eaglesoft and/or Open Dental experience strongly preferred).
Outbound Phone Skills: Proven track record of making outbound calls, overcoming patient objections, and converting overdue patients into booked visits.
Bilingual Skills: Fluent English communication; bilingual English/Spanish skills strongly preferred.
Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 9am - 5pm EST.
