Position Overview

The Patient Financial Advocate serves as the primary liaison for patients regarding financial matters throughout their care experience at West Cancer Center. This role provides support with insurance billing, coverage verification, financial assistance screening, and patient education regarding financial responsibility. Advocates work closely with patients and internal teams to ensure affordability and accessibility to care while maintaining dignity and confidentiality.

Key Responsibilities

• Serve as the primary financial point of contact for patients throughout their care
• Conduct initial and ongoing evaluations of insurance coverage and benefit verification
• Review and create estimates; explain out-of-pocket costs to patients
• Assist with financial assistance and charity application processing
• Coordinate patient needs with departments such as care support, nurse navigation, and revenue cycle
• Obtain patient signatures for ABNs or assistance applications when applicable
• Track and follow up on past due accounts and payment plans
• Refer patients to external financial resources as needed
• Utilize community resources to support non-medical patient needs

Qualifications

Education & Experience

• Minimum of 3 years of experience in medical billing, insurance verification, or financial counseling
• Familiarity with insurance rules (Medicare, commercial payers, referrals, and pre-certifications)
• Experience with a healthcare information system required

The Account Specialist is responsible for managing assigned patient accounts from initial billing through resolution to a zero balance. Key Responsibilities

• Assess payments and adjustments on patient accounts for accuracy and take appropriate action on overpayments, underpayments, or non-payments
• Resolve billing issues and inquiries from insurance carriers and patients via phone, fax, or mail
• Process daily mail from insurance carriers and patients, including payment discrepancies, charge errors, and correspondence
• Process credit balances according to established procedures
• Compile and submit medical records and supporting documentation to facilitate reimbursement, appeals, and pre-payment reviews
• Collaborate with Coding, Medical Records, and Patient Representatives to verify coding, resolve denials, and address insurance issues and pre-certifications

The Lead Referral Coordinator provides support to Referral Coordinators while helping to facilitate excellent customer service and efficient workflows. This role is responsible for monitoring incoming orders and ensuring adherence to guidelines for scheduling appointments with specialists, consults, and radiology services, while assisting with day-to-day operations of the Patient Access Services team.

Key Responsibilities

• Provide support to the outside orders team in the absence of the Supervisor of Patient Access Services
• Assist in training and orienting new and existing employees

The Regulatory Affairs Associate I works closely with Sponsors, CROs, investigators, and research staff to coordinate regulatory submissions and approvals for multiple studies. This role is responsible for managing Institutional Review Board (IRB) submissions, maintaining regulatory documentation, processing safety reports, and ensuring compliance with federal regulations while supporting ongoing research activities.

Key Responsibilities

• Coordinate initial and ongoing IRB approvals for assigned studies
• Maintain regulatory responsibility for multiple studies
• Collect and maintain site-specific regulatory documents (CVs, licenses, lab certifications, FDA Form 1572, delegation logs, etc.)
• Prepare and submit study documents to IRB, Sponsors, and/or FDA as appropriate
• Maintain study binders with required documents and correspondence
• Meet study deadlines and coordinate with staff for subject information needed for updates and re-approvals
• Perform study closeout activities as appropriate
• Maintain essential regulatory documents
• Obtain IRB approval for updated study documents (protocol amendments, informed consent forms, Investigator Brochures, patient materials, etc.)

The PreCert Specialist serves as a key resource for patients, providers, and staff by navigating insurance requirements, obtaining authorizations, and ensuring accurate documentation. 

Key Responsibilities

• Verify demographic and insurance information including co-pays, deductibles, stop losses, guarantors, subscribers, and medical policy requirements
• Update demographic and insurance records in a timely and accurate manner
• Obtain and review physician orders for medical necessity and coverage requirements
• Research insurance coverage criteria using payer policies, medical literature, and compendiums
• Generate and review computer-based appointment reports
• Communicate proactively with medical teams to ensure criteria are met for authorization
• Obtain and review authorizations to ensure appropriate payment on the backend
• Review self-pay patients, confirm status, and coordinate with patient assistance programs if applicable
• Support appeals and peer-to-peer requests for precertification denials
