Position Summary
Veritas Veterinary Partners seeks a warm, professional and highly organized Client Experience Representative to serve as the face of a Partner Hospital. The Client Experience Representative is the first person clients encounter and the last they see before leaving, making this role central to how Veritas Veterinary Partners is perceived and experienced.
This position operates at the front desk and is responsible for delivering exceptional in-person and phone-based client service, managing billing and payment processes and supporting all aspects of the client journey from arrival through departure.
Essential Duties and Responsibilities
Client Arrival and Check-In
- Greet clients and patients warmly upon arrival, creating a welcoming and reassuring first impression in what is often a stressful situation.
- Complete accurate check-in processes including verifying client and patient information, confirming appointment details and notifying clinical teams of patient arrival.
- Manage the reception area and waiting room, communicating wait time updates to clients proactively and with empathy.
- Answer incoming phone calls promptly and professionally, routing calls, taking messages and providing information within scope.
- Maintain an organized and professional front desk environment throughout the shift.
Financial Transactions and Billing
- Present financial estimates clearly and with compassion, ensuring clients understand charges associated with their pet's care.
- Process payments accurately using approved payment methods including credit, debit, CareCredit and payment plans.
- Reconcile end-of-shift transactions and report discrepancies to the supervisor or manager.
- Provide clients with information about payment options and direct complex financial questions to the Financial Liaison or supervisor.
- Maintain accurate client account information within the practice management system.
Discharge and Follow-Up
- Coordinate client discharge by ensuring all paperwork, prescriptions and discharge instructions are complete and clearly communicated.
- Schedule follow-up appointments and referrals as directed by the clinical team.
- Reinforce key discharge instructions with clients in plain accessible language, ensuring they leave with a clear understanding of home care expectations, medication schedules and when to seek follow-up care.
- Send appointment reminders, follow-up communications and client satisfaction outreach as directed.
- Document all client interactions and transactions accurately in ezyVet or other designated systems.
Qualifications
Required
- Minimum one year of experience in a client-facing, customer service or reception role in a professional environment.
- Strong interpersonal and verbal communication skills with a warm and professional demeanor.
- Ability to manage multiple tasks simultaneously in a high-volume, fast-paced environment.
- Basic proficiency with computer systems, scheduling platforms and point-of-sale or billing software.
- Reliability, punctuality and a consistent professional presence at the front desk.
Preferred
- Experience in a veterinary, human healthcare or similarly client-intensive service environment.
- Familiarity with ezyVet, Impromed, AVImark or similar practice management software.
- Background in hospitality, luxury service or patient-facing healthcare reception.
- Experience processing payments, presenting financial estimates or working with CareCredit or similar financing products.

Work Environment
This position is onsite full-time at a Partner Hospital. The role is based at the front desk and requires extended periods of standing and sitting, frequent in-person and phone interaction with clients and the ability to remain composed in high-volume and emotionally charged situations.
The Client Experience Representative will regularly interact with clients in varying states of stress, grief or urgency related to their pets and must consistently model calm, empathetic professionalism. Exposure to clinical noise, animal handling near reception areas and emergency arrivals is expected. Hours include evenings, weekends and holidays consistent with hospital operating hours.

POSITION SUMMARY
Veritas Veterinary Partners seeks a compassionate and operationally minded Client Experience Manager to lead the client-facing team at a Partner Hospital. The Client Experience Manager creates welcoming, efficient experiences that reflect Veritas values while leading a team dedicated to supporting pets, their families and medical staff. This role serves as the vital connection between clients and clinical teams, ensuring every interaction reinforces the highest standard of veterinary care while cultivating a collaborative, service-driven culture.
ESSENTIAL DUTIES AND RESPONSIBILITIES
TEAM LEADERSHIP AND DEVELOPMENT
- Lead, schedule and develop a team of client experience associates and concierge staff across all client-facing areas.
- Conduct regular performance conversations, provide coaching and recognition and hold team members accountable to service standards.
- Partner with the Hospital Director and People and Culture Operations on recruiting, onboarding and retaining client service talent.
- Facilitate team huddles and training sessions to reinforce service standards, communication techniques and empathy-based approaches.
- Identify development opportunities for high-performing team members and create pathways for advancement.
CLIENT EXPERIENCE OPERATIONS
- Oversee all client touchpoints including reception, check-in, discharge, phone communications and follow-up.
- Serve as the primary escalation point for complex client concerns, resolving issues with empathy, professionalism and urgency.
- Monitor client satisfaction metrics, identify trends and implement actionable improvements in coordination with hospital leadership.
- Develop and maintain service recovery protocols that prioritize client trust and relationship preservation.
- Ensure accurate, timely and compassionate communication throughout the client journey.
COMPLIANCE AND ADMINISTRATIVE OPERATIONS
- Ensure client-facing workflows comply with hospital policies, HIPAA-equivalent client confidentiality standards and state regulations.
- Oversee accurate client record management, financial transaction processing and front-end billing coordination.
- Maintain staffing schedules that ensure consistent coverage across all operating hours including evenings, weekends and holidays.
CROSS-FUNCTIONAL COLLABORATION
- Partner with clinical leadership to ensure client communication reflects accurate, timely medical information.
- Collaborate with the Hospital Director on service initiatives, client experience strategy and team culture goals.
- Build strong working relationships with clinical teams, ensuring client experience is treated as a shared organizational responsibility.
QUALIFICATIONS
REQUIRED
- Bachelor's degree in Business Administration, Communications, Healthcare Management or a related field, or equivalent professional experience in client service leadership.
- Minimum three years of experience in a client-facing leadership role in veterinary medicine, healthcare, hospitality or a similarly high-care service environment.
- Demonstrated experience managing and developing frontline service teams.
- Strong communication, de-escalation and conflict resolution skills.
- Ability to remain composed and empathetic in emotionally charged and high-volume environments.
PREFERRED
- Experience in specialty or emergency veterinary medicine or human hospital patient services.
- Prior experience in a multi-site, PE-backed or high-growth organization.
- Background in service recovery strategy, client satisfaction measurement or experience program design.
- Familiarity with veterinary practice management software.

What You’ll Do

- Oversee accounts receivable, including payment plans, collections, attorney referrals, and coordination with credit agencies, rescues, and donation organizations
- Ensure fees, product codes, and charges align with the Veritas fee schedule; identify and adjust inappropriate charges with leadership approval
- Coordinate crematorium services, external lab shipments, shipping accounts, and vendor billing; maintain logs and audit invoices for accuracy and timely payment
- Process insurance claims, follow up on payments, and document client wishes and outcomes
- Serve as primary contact for hospital email accounts and medical records, ensuring timely receipt, scanning, documentation, confidentiality, and proper record management
- Educate staff on charge entry and payment protocols while maintaining a professional and supportive client experience
- Oversee records retention and shredding processes

The Veterinary Client Services - Front Desk is one of the most important positions in our emergency/specialty practice as you are on the front lines, there to greet each client who walks in the door, setting the stage for a positive client experience. Our CSRs are ambassadors of GSVS and will be responsible for checking clients in and out of the hospital, booking appointments, taking payments, and fielding busy phone lines. This position requires experience in a fast-paced customer facing role, and while veterinary experience is preferred, we would happily train and invest in the right candidate.
About GSVS: We are a multispecialty practice with boarded specialists in cardiology, internal medicine, surgery, radiology, and critical care. Our clients and patients also have access to ophthalmology, oncology, radiation oncology, neurology, dermatology, and radioactive iodine treatment via our affiliated practice in Eatontown, NJ.

How you'll make a difference
- Welcome our clients in a friendly, helpful, and compassionate manner
- Prepare and review documents and medical records accurately and completely
- Educate and advise clients regarding Wheat Ridge Animal Hospital services and practices
- Process appointments, emergencies, and client requests while ensuring the highest quality of care and satisfaction for our clients at all times.
- Process admissions and discharges accurately; schedule follow up appointments as necessary
- Process invoices and payments accurately
- Update and maintain client/pet records and files in accordance with Wheat Ridge Animal Hospital legal requirements
- Assist with other administrative duties such as scanning, faxing, emailing, for example
What you will bring
- Experience working within the veterinary industry; customer service background, enrollment in veterinary program, or other animal industry experience accepted as well
- Cultivate a positive atmosphere, demonstrate a friendly and courteous attitude with all coworkers throughout the hospital to maintain a cohesive work team
- Maintain excellent communication skills to ensure professionalism and effectiveness in all interactions with clients and coworkers throughout the hospital

About the Role
As a Client Service Representative, you will be a vital part of the hospital’s front-line experience, ensuring exceptional service for clients while supporting smooth hospital operations.
Key Responsibilities
- Provide professional, compassionate communication with clients

- Monitor hold times and call flow to ensure no client is left waiting without a check-in
Qualifications
- Experience in client services, healthcare, veterinary, or hospitality environments preferred
- Strong written and verbal communication skills
- Proficiency with multi-line phone systems and scheduling software (training provided on hospital-specific systems)
- Ability to work at least one weekend day per week in a 24/7 hospital environment
