Job Summary:

The Manager, Legal Assistant (Estate Planning Service) works in a team-centric environment to support the assistants, and other Estate Planning group staff, with high volume client interaction. The Manager, Legal Assistant (Estate Planning Service) is responsible for supporting estate planning strategists and Service Specialists with ushering clients through the estate planning process. The Manager must be organized and enjoy the challenges of contributing to a fast-paced legal team. Attention to detail, as well as excellent verbal and written communications skills, are a must. The Manager should be resourceful, proactive, and efficient when completing time-sensitive tasks and projects.

Essential Job Functions for this role include:

Management:

Overseeing, supporting, and managing the team of service specialist to ensure they are performing pursuant to key metrics; as well as following best practices for group, client, and advisor interaction
Managing service specialists, as assigned, through overseeing day-to-day tasks, training, assisting with time management, coaching, and mentoring
Developing and building internal resources to assist Estate Planning group with their tasks
Handling all time off and time keeping responsibilities for team of service specialists
Recruiting, training, and onboarding new service specialists
Leading regular service specialist meetings

Client and Advisor Services:

Drafting various correspondence to wealth management teams and clients.
Following best practices for group, client, and advisor interaction.
General administrative tasks and other duties, as needed.
Supporting an estate planning strategist throughout the estate planning process; including acting as a primary point of contact for clients, managing correspondence with clients, administering calendar management for a strategist, scheduling meetings, and answering phones.
Supporting maintaining estate planning documents and estate planning reviews as a liaison with estate planning specialists, wealth management teams, and clients.
Maintaining client files, including preparing and finalizing notes for meetings.
Other duties, as assigned.

Knowledge, Skills, and Abilities:

High school diploma or equivalent
5 years experience in a legal setting, law firm or in-house, preferred
Experience managing a team of individual contributors
Outstanding work ethic with a self-starter attitude, ability to perform under pressure, meet deadlines, prioritize and deliver multiple tasks on time.
Outstanding communication and organizational skills
Proficiency with MS Word, Excel, Adobe and Outlook
Able to maintain confidentiality with all matters
Have a “can-do” positive attitude and enjoy being part of a team
Ability to prioritize and multi-task in a busy environment

Work Schedule:

This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs.

All roles classified as a non-exempt are required to record working time into the timekeeping system daily at the start and end of each workday plus a 30-minute unpaid lunch period.

Working Conditions:

This position may be in a professional office environment or a dedicated home office workspace which is free of interruptions. Whether position is in a dedicated office space or home office workspace, basic technology needs will be provided to satisfy position requirements. Routinely sitting and standing for periods of time. No heavy lifting over 10 lbs.

Base Pay Range

$72,250—$85,000 USD

Job Summary:

The Estate Planning team is part of our Wealth Solutions group, which is a dynamic team environment consisting of professionals dedicated to providing and implementing planning strategies for our high-net-worth clients.

Essential Job Functions for this role include:

Meeting with wealth advisors/financial planners/other wealth management and members of the Wealth Solutions group to review, fund, and maintain estate plans
Learning advanced planning strategies
Build book of ultra-high-net-worth clients
Reviewing and summarizing existing estate planning documents, including making appropriate recommendations regarding changes and additions based upon changes in law and family circumstances
Answering general informational estate planning questions from clients and advisor teams
Serving as an in-house resource in estate planning to wealth management teams nationwide
Remaining current with related estate, trust, and tax legislation nationwide
Support business development through leading presentations, thought leadership publications, and prospective client meetings, as necessary
Mentor and coach Estate Planning Strategists
Management of a service specialist, as assigned, as related to overseeing day-to-day tasks, training, calendars, time management, coaching, and mentoring
Other duties, as assigned

Knowledge, Skills, and Abilities:

Juris Doctor (JD)
Licensed to practice law in at least one state
Ability to interpret and convey complex estate planning topics to Wealth Management teams and clients
4-8 years legal experience in estate planning preferred
Ability to travel up to 25%

Work Schedule:

This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs.

Job Summary:

The Estate Planning Operations Specialist provides daily, ongoing administrative support for the Estate Planning group. The Estate Planning Operations Specialist is responsible for processing outgoing and incoming estate plans. This role may also perform a wide range of support activities to facilitate clients through the estate planning process. This role requires excellent attention to detail and strong written communication skills.

Essential Job Functions for this role include:

Shipping, scanning, and assembling estate plans and other related documents
Preparing materials for client meetings
Coordinating referrals to the Estate Planning group from wealth management teams
Assisting with managing client intake process for Estate Planning team including creation of folders, inputting initial data into CRM, and ensuring all data is accurate and complete
Coordinating scheduling of initial client estate planning meetings
Assisting with ad hoc projects
Performing general administrative tasks, as needed
Other duties, as needed

Job Summary:

The Estate Planning team is part of our Wealth Solutions group, which is a dynamic team environment consisting of professionals dedicated to providing and implementing planning strategies for our high new worth clients.

Essential Job Functions for this role include:

Meet with wealth advisors/financial planners/other wealth management and members of the Wealth Solutions group to review, fund, and maintain estate plans, with guidance
Reviewing and summarizing existing estate planning documents, including making appropriate recommendations regarding changes and additions based upon changes in law and family circumstances, with guidance
Answering general informational estate planning questions from clients and advisor teams
Serving as an in-house resource in estate planning to wealth management teams nationwide
Remaining current with related estate, trust, and tax legislation nationwide
Managing a service specialist, as assigned, as related to overseeing day-to-day tasks, training, calendars, time management, coaching, and mentoring
Other duties as assigned

Knowledge, Skills, and Abilities:

Juris Doctor (JD)
Licensed to practice law in at least one state
Ability to interpret and convey estate planning topics to Wealth Management teams and clients
0-3 years legal experience in estate planning preferred
Ability to travel up to 25%

Work Schedule:

This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs.

Working Conditions:

This position may be in a professional office environment or a dedicated home office workspace which is free of interruptions. Whether position is in a dedicated office space or home office workspace, basic technology needs will be provided to satisfy position requirements. Routinely sitting and standing for periods of time. No heavy lifting over 10 lbs.

Actual base pay within this range will be based on a variety of factors, including but not limited to the applicant’s geographic location, relevant experience, education, skills and licenses/certifications. This position is also eligible to earn incentive compensation through one of Mercer Advisors’ incentive compensation programs.

Base Pay Range

$97,750—$115,000 USD
