Reporting to the Depot Operations Lead, Flexdrive is seeking detail-oriented and technically capable Depot Operations Associates to ensure our autonomous vehicle fleet maintains optimal readiness for 24/7 operations. This hands-on role combines critical vehicle preparation, maintenance support, and calibration responsibilities that directly impact fleet availability and safety. You will be responsible for the complete vehicle lifecycle from pre-deployment checks through end-of-day diagnostics, including specialized calibration procedures that enable autonomous operation.

Work Schedule & Shift Availability

• This role supports 24/7 AV depot operations and requires availability to work overnight shift, with hours scheduled between 10:30 AM - 7:00 AM. Specific shift times and schedules will be determined based on operational needs and business requirements. 
• Schedules may include weekends and holidays based on depot operational requirements. We offer competitive shift differentials for night shifts and weekend hours.

Responsibilities:

Vehicle Readiness & Preparation:

• Daily Fleet Management: Review and assess available AVs each shift, executing pre-deployment safety checks and end-of-day diagnostics to ensure all vehicles meet operational readiness standards per partner requirements.
• Vehicle State Transitions: Progress vehicles through operational states by completing all required checklists, sensor inspections, and verification processes in the fleet management system.
• Quality Assurance: Perform comprehensive vehicle inspections following partner knowledge base standards, annotating issues and ensuring adherence to Critical to Quality processes.
• Task Execution: Manage daily tasks via digital task management system, ensuring efficient workflow and timely completion of all vehicle preparation activities.

Charging, Cleaning & Fleet Servicing:

• Vehicle Cleanliness Standards: Maintain interior and exterior cleanliness meeting partner brand standards, ensuring all components (body panels, glass, sensors) are free of dirt, debris, dust, and odors following established cleaning procedures.
• Charging Operations: Execute strategic charging activities at optimal times, including mid-day charging sessions, while completing concurrent tasks to maximize efficiency and maintain fleet availability.
• Preventative Maintenance: Perform basic preventative maintenance tasks that don't require dealership intervention, including fluid checks/refills, tire pressure adjustments, and minor component replacements per approved SOPs.
• Cleaning Chemical Compliance: Use only approved cleaning chemicals and follow hazardous materials handling protocols per EHS requirements.

Data Management & Security:

• Data Operations: Execute secure data handling activities including data transfers, offload procedures, and device tracking while maintaining chain of custody per security standards.
• Data Compliance: Ensure all data offload procedures meet established SLAs, maintaining proper documentation and verification of successful data transfers.
• Device Security: Use only employer-supplied, corporate-enrolled devices for photos and data transfer, ensuring no personal devices store proprietary information per security requirements.
• Secure Handling: Maintain strict security protocols for all sensitive hardware, following chain of custody standards for critical components.

Calibration & Technical Operations:

• Sensor Calibration: Conduct calibration activities to reintroduce repaired vehicles into autonomous operation, following precise procedures outlined in training materials and SOPs.
• Manual Driving Operations: Drive autonomous vehicles within depot and on public roads for calibration procedures, ensuring sensors are properly calibrated for autonomous operations.
• Technical Verification: Validate calibration success through system checks and diagnostic procedures, ensuring vehicles meet all technical requirements for autonomous deployment.
• Documentation: Maintain accurate records of all calibration activities, including completion times, issues encountered, and verification results.

Lot Management & Logistics:

• Vehicle Movement: Efficiently manage lot operations including parking, staging, and moving AVs to appropriate areas (deployment zones, charging stations, service bays) while optimizing depot flow.
• Status Management: Update vehicle status in real-time tracking systems, monitoring cycle times and ensuring accurate visibility of fleet readiness.
• Service Coordination: Confirm completion of all service and repairs, transitioning vehicles to appropriate next status while tracking SLA compliance.
• Issue Escalation: Flag maintenance needs and repair requirements to Fleet Supervisor or Depot Operations Lead, providing detailed documentation of observed issues.

Safety & Compliance:

• Safety Protocol Adherence: Follow all OSHA, EHS, and partner safety guidelines including proper PPE usage, hazardous material handling, and emergency response procedures.
• Training Compliance: Maintain all required qualifications and certifications, completing ongoing training through the partner's learning management system.
• Incident Reporting: Immediately report safety concerns, vehicle damage, or operational issues through appropriate channels, supporting incident investigation as needed.
• Quality Standards: Ensure all work meets or exceeds partner operations system standards and quality requirements.

Experience:

• High school diploma or equivalent required; technical certification or associate degree in automotive technology, logistics, or related field preferred.
• 1-2 years of experience in automotive, fleet operations, logistics, or similar hands-on operational environment.
• Valid U.S. driver's license with clean driving record (no major violations in past 3 years) - required for calibration driving duties.
• Mechanical aptitude with ability to perform basic vehicle maintenance and understand technical procedures.
• Strong attention to detail with ability to follow complex SOPs and maintain consistent quality standards.
• Physical capabilities to perform depot operations including ability to stand/walk for extended periods, lift up to 50 lbs, and work in various weather conditions.

This role sits between the Director and the Operations Managers — translating strategic direction into field execution, developing the Operations Manager layer, and ensuring operational performance is consistent, safe, and scalable across markets.

This is a role for a senior operational leader who leads from the front — running a multi-market program with precision, holding a high bar across a team of managers, and owning the AV Partner relationship at a program level. The operational framework, safety programs, and partner protocols are established, and this leader's first job is executing within them at a high standard. As we scale, this role will also take on program-building scope — translating operational experience into repeatable systems and supporting new market readiness. Experience

• Experience in AV, fleet, transportation, logistics, or a similarly regulated operational environment, with deep familiarity with safety management systems, high-voltage (HV) EV environments, strict chain-of-custody compliance for sensitive hardware, and regulatory compliance requirements.

Reporting to the Director of Field Operations, Flexdrive is seeking a Program Manager, Process Excellence & Standards to own the full lifecycle of our operational process library — from governance and version control to field validation and continuous improvement. This is an individual contributor role with significant cross-functional reach, operating with considerable autonomy to define how Flexdrive manages, audits, and evolves its standards as the business scales.

Flexdrive has built more than 100 operational process standards to support our AV depot operations — covering everything from vehicle handling and safety protocols to partner compliance requirements. This role exists to make sure those standards are living documents: accurate, adhered to in the field, responsive to feedback, and ready to support future AV partners as we grow. You will own the program that keeps our operations honest, consistent, and scalable.

Responsibilities:

Process Standards Ownership & Governance

• Document Library Management: Own the full library of Flexdrive operational process standards — maintaining version control, ensuring document accuracy, and establishing governance practices that keep the library organized, accessible, and audit-ready at all times.
• Audit & Validation Cycles: Design and execute regular audit cycles to validate that process standards reflect current operational reality. Identify gaps between documented standards and actual field execution, and drive resolution through structured updates and approval workflows.
• Version Control & Change Management: Manage the end-to-end lifecycle of process changes — from intake and review through approval, publication, and field communication — ensuring that updates are traceable, deliberate, and consistently implemented across all markets.

Multi-Partner Readiness: As Flexdrive adds future AV partners, lead the process integration work required to onboard new partner standards — identifying gaps, managing updates, and ensuring the library remains coherent and operationally sound across a multi-partner

Experience:

• 5+ years in program or project management, with a demonstrated focus on process standardization, SOP governance, operational excellence, or a related discipline.
• Proven ability to manage large-scale document libraries — including version control, audit cycles, and compliance validation — in a fast-paced operational environment.

About the Role

In this highly visible role, you will lead the design, launch, and ongoing performance of our internal AV service and maintenance operation. You will partner with our recruitment team to build the founding team of Technicians, help lead the development of a technical training and certification program, and create the definitive playbook for our AV repair operations.  Ultimately, you are accountable for the end-to-end performance of our service and repair program, ensuring maximum fleet readiness and building a highly capable technical workforce.

  • Design the Service Standard: Lead the strategic launch of our internal service and repair program. Define the headcount models, shop layouts, tooling requirements, and operational workflows for high-efficiency maintenance operations.

  • Talent Acquisition & Recruiting: Partner with the People team to define the AV technician hiring profile. Develop the recruitment and retention strategy for our technical workforce, partnering closely with the Talent Acquisition team to execute on hiring goals, technician assessments, and onboarding.
  • Training & Certification Program: Help lead the development and implementation of a comprehensive technical training and certification program.   • Safety Culture: Execute and continuously improve a safety-first Safety Management System (SMS) culture. Oversee High Voltage (HV) safety protocols (NFPA 70E), Lockout/Tagout (LOTO), and hazardous waste management..
  • Quality Assurance: Establish a comprehensive Quality Control (QC) framework with multi-stage inspection and validation protocols. Experience:

• Experience: 5+ years of program management or operational leadership specifically within the Autonomous Vehicle (AV), Electric Vehicle (EV), or Advanced Mobility sectors.
• Recruiting & Talent Development: Demonstrated experience recruiting technical talent, building competency frameworks, and managing technical training programs for service/repair operations.
• Program Leadership: Proven ability to lead complex operations and influence cross-functional teams (Real Estate, HR, Engineering) to deliver on launch timelines.
• The "Builder" Mindset: Proven experience launching new service centers or maintenance facilities from scratch (not just running existing ones). Experience with facility layout, permitting, and equipment procurement is essential.
• Technical Depth: Solid understanding of AV sensor systems (lidar, radar, cameras), EV high-voltage systems, and automotive service operations. Sufficient technical depth to effectively lead a technical team, interpret performance data, and make informed operational decisions. This is a program leadership role—you will have Master Technicians and technical experts on your team to handle the hands-on technical work.
• Operational Rigor: Experience managing high-velocity operations using data. Proficiency with Fleet Management Systems (FMS), ticketing systems, and data visualization (Tableau/Excel).
• Travel: Ability to travel up to 50% of the time, particularly during peak depot launch phases.

  • Experience working with JLR (Jaguar Land Rover), Zeekr, or Hyundai AV platforms.
  • Certifications: ASE Master Technician (or proven experience managing and assessing ASE/OEM certified technicians), I-Car Certification, Six Sigma/Lean, or PMP.

The expected base pay range for this position in the Nashville area is $108,240 - $135,300. Salary ranges are dependent on a variety of factors, including qualifications, experience and geographic location. Range is not inclusive of potential equity offering, bonus or benefits.
