Senior Client Associate

IMA Boston is an employee benefits broker located in Newton, MA. The Senior Benefit Analyst is an experienced-level role with a career path in benefit consulting or other areas within the organization. This role partners closely with the Employee Benefits Consulting Team to support the full client lifecycle, including onboarding, renewals, communications, and ongoing client service.
What You'll Do
Communications & Open Enrollment
- Lead development and execution of open enrollment and year-round benefits communications
- Ensure accuracy and consistency of all benefit materials in partnership with marketing
- Coordinate and support open enrollment meetings, including carrier engagement and logistics
Client Implementation & Data Management
- Oversee onboarding of new clients and implementation of benefit plans and programs
- Maintain accurate client records and systems, including benchmarking and internal platforms
- Support client education through implementation meetings and materials
Client Service & Consulting Support
- Partner with consulting team to develop client deliverables (renewals, claims reviews, mid-year updates)
- Review and validate carrier materials to ensure accuracy prior to client distribution
- Serve as a point of contact for client inquiries, including claims and billing issues
Analysis, Processing & Compliance
- Prepare and analyze marketing results; identify discrepancies and plan design changes
- Support compliance efforts, including review of Summary Plan Descriptions and Schedule A's for 5500 filing
What You Need to Succeed

• MA Health & Accident license preferred. If unlicensed, license must be obtained within 90 days of hire.
Experience
• 2-5 years of industry experience
Education
• Bachelor’s degree preferred.

ESSENTIAL JOB RESPONSIBILITIES include but are not limited to:
- Supports and demonstrates IMA’s core values

Client service
- Maintains regular, professional contact to create and foster relationships with client representatives
- Researches and resolves issues and requests in a timely manner, including issues requiring direct interactions
- Answers questions related to benefits program
- Conducts reviews and works to provide guidance on compliance related matters
Client meetings
- Assists in and prepares materials and collateral for meetings and discussions
- Actively participates in discussions
- Records and reports meeting discussion and action items
- Carrier and vendor management
- Oversees new vendor/carrier implementations
- Reviews carrier, vendor, and plan documents and contracts
- Maintains regular contact with carrier and vendor representatives to ensure client advocacy and that issues are being resolved in a timely manner
Communication and education
- Works with clients to develop short and long-term employee communication objectives
- Creates member facing collateral pieces to promote and clarify benefit program features
- Leads in person, virtual, and telephonic sessions to provide information and plan details to participants
- Uses regular interactions to update clients on carrier and vendor partner features and services
Internal partnerships
- Actively participates and contributes to client service team operations
- Effectively communicates client updates to appropriate team members
- Assists with other team duties as needed – i.e., position vacancy, cover personal time off, etc.
REQUIRED EXPERIENCE AND SKILLS include but are not limited to:
- Attains and maintains state life and health license in accordance with IMA standards
- Bachelor’s degree in relevant field or equivalent job experience
- 4 or more years of relevant experience
- Intermediate MS office skills (specifically PowerPoint, Outlook, Word, and Excel)
- Ability to learn and work in agency/client management systems and other related software and technology platforms
- Ability to work independently
- Intermediate interpersonal communication skills – written and oral – with the ability to articulate ideas and information in a clear and concise manner
- Demonstrates critical thinking and problem solving
- Ability to present information in a group setting (in person and virtually)
- Intermediate organizational skills including the ability to manage multiple projects with variable deadlines
- Possesses high degree of diplomacy and tact while maintaining confidentially

Join our dynamic Total Rewards team in the vibrant Portsmouth, NH market as a Senior Client Manager! Here, you'll have the exciting opportunity to build strong client relationships while delivering exceptional service and support. In this client-facing role, you’ll lead benefit platform initiatives, support open enrollment, manage reporting and compliance tasks, and coordinate employee communications. You’ll also assist with RFPs, renewal tracking, and ongoing client meetings.

This position offers flexibility, including the option to work remotely. Because we value in‑person collaboration for training, client support, and strategic meetings, qualified candidates must live within reasonable travel distance to our NH location.
What You Bring
- Bachelor’s degree with 3–5 years of experience in account management or HR (employee benefits preferred)
- Active health, life, and disability license in applicable state(s)
- Proficiency with Microsoft Office and virtual meeting platforms
- Strong communication, organization, and analytical skills
- Ability to make sound independent decisions and manage priorities effectively

- Training & Mentorship
- Provides mentorship to analysts and performs technical review of work

Position Summary:
The Employee Benefits Senior Benefits Associate provides essential in-house support to Client Management teams by handling internal service requests related to employee benefits. This entry-level role is ideal for someone who is detail-oriented, organized, and eager to grow within the employee benefits industry. The Benefits Associate works under the guidance of the Employee Benefits Support Supervisor, cross-collaborates with the Client Management team, and contributes to the overall efficiency and quality of service delivery.
Essential Duties and Responsibilities:
- Respond to internal service requests from the Client Management team, ensuring timely and accurate task completion.
- Prepare administrative materials such as plan matrices, proposals, claims history reports, enrollment data, and billing summaries.
- Create, update, and format client-facing communication materials, including benefit guides, strategic presentations, and compliance documents.
- Track deadlines and assist with the preparation and submission of compliance documents (e.g., ACA reporting, COBRA notices, ERISA disclosures).
- Coordinate with insurance carriers to request data, obtain quotes, confirm plan details, and resolve discrepancies.
- Support client meetings, wellness fairs, and open enrollment events by coordinating logistics and preparing materials.
- Assist with onboarding new clients by collecting documentation, setting up internal systems, and preparing welcome materials.
- Compile benchmarking data to support client benefit comparisons and strategic planning.
- Maintain accurate records and perform data entry, scanning, and document management in systems such as SharePoint, Epic, and Smartsheet.
- Conduct peer reviews of client materials to ensure accuracy and consistency.
- Generate and maintain internal reports to track client activity, service requests, and project timelines.
- Handle routine inquiries and internal communications professionally and efficiently.
- Support special projects and ad hoc assignments as needed.
- Collaborate with internal departments and external partners to resolve issues and improve workflows.

Provide and maintain service to clients, and support Employee Benefits Producer in processing all lines of employee benefits insurance in accordance with the objectives and guidelines outlined by the Employee Benefits Department.
Essential Duties and Responsibilities
Other duties may be assigned.
- Responsible for assigned book of business.
- Process renewals and incidental new business, cancellations and policy changes.
- Responsible for accuracy of your work product and that of others assisting you.
- Maintain and be responsible for expiration log and renewal list.
- Market renewal policies, as requested by Producer.
- Provide Producer with accurate new and renewal proposals, coverage summaries and client check lists for presentation to clients.
- Check policy coverages, changes and amendments for accuracy and relevance.
- Respond to or refer insured's and underwriter's questions or requests.
- Input/amend client policy, coverage, premium and billing information into computer system and keep current at all times.
- Verify commission schedules with carrier and accounting department for each account.
- Assist Producer and Client in the reconciliation of client accounts, as necessary.
- Maintain Applied computer system documentation as required by the Employee Benefits Department.
- Maintain and be responsible for upkeep of client technology tools.
- Generate client open enrollment materials and conduct open enrollment meetings, as needed.
- Present marketing results and strategies with decision makers.
- Attend company and department meetings, position-related seminars/classes, client meetings, carrier functions, and other events as required.
- Adhere to policies and procedures set forth for the Department and Bolton & Company.
- Pursue a program for personal and professional development, including educational classes in your specific field and those offered by Bolton in communication, leadership, corporate language, and other classes as recommended by leaders.

- Ensure programs and plan design are aligned with all applicable regulatory requirements.
- Utilize intermediate knowledge of underwriting practices to analyze claims data and provide applied explanations to the client and internal team.
- Renewal and Coverage Management
- Plan and direct the renewal process for all lines of coverage, including negotiating rate renewals and recommending carrier changes or alternative funding arrangements.
- Direct and oversee the service teams' work assignments related to project management, claims escalation and resolution.
- Collaborate with a Client Service Associate to verify the accuracy of presentation spreadsheets by comparing carrier proposals and assist in assembling formal proposals for clients.
- Relationship Development and Management
- Develop strong carrier and vendor relationships to support and lead negotiation and advocacy during client coverage placement and renewal process, utilizing department peers and/or leadership as necessary
- Coordinate with internal subject matter experts and leadership to identify current and emerging markets and products, delivering solutions aligned with clients' goals through ongoing commitment to ongoing learning and development.
- Client Communication and Education
- Develop and deliver client communications, including presentations at client meetings, to inform and educate on benefits legislation, compliance, industry trends, and new products.
- Field telephone inquiries as needed from both clients and their employees about their current coverage and insurance contracts, as well as general questions about insurance or benefits and regulations pertaining to insurance and benefits such as COBRA, HIPAA, and S125.
- Make routine service calls to the client's workplace as needed within their team structure to address service issues and proactively demonstrate our high level of commitment to superior service.
- Reporting and Enrollment Management
- Complete annual Stewardship Reports and quarterly Claims Utilization Reviews.
- Provide technological support and conduct annual open enrollment meetings, including employee presentations.
- Plan annual client enrollments, including the development of enrollment strategies and educational materials to help employees understand and effectively utilize their benefits.
- Process Management and Documentation
- Adhere to established departmental and agency procedures by tracking activities, client history, communications, and accurately documenting all information within the agency system.
- Maintain knowledge of and comply with Agency guidelines, policies, and procedures.
- Professional Development and Compliance
- Monitor personal continuing education requirements to ensure compliance with licensing requirements. Attend classes as necessary.

POSITION SUMMARY:
The Employee Benefits Client Service Manager is responsible for delivering high quality and efficient service to both internal and external clients through day-to day account management of an assigned group of accounts. The Client Service Manager contributes to key business outcomes such as client retention, client satisfaction, enhancing W3’s value to our clients and prospects and fostering a culture of performance and continuous improvement. Builds and solidifies relationships with existing clients by providing exceptional ongoing service. In partnership with the Production Team, takes a leadership role in the renewal process, ensuring that the best possible solution is delivered to the client in a high-quality & timely manner:
JOB DUTIES:
- Work collaboratively and cooperatively with others, with a commitment to a workplace of dignity and respect, in compliance with equal employment opportunity standards and regulations.
- Accept direction and coaching from team lead and manager, in compliance with the Agency's policies and procedures.
- Proactively demonstrate our high level of commitment to superior customer service, including claims resolution, to group clients and their employees by telephone (preferably) and E-mail on all group insurance products sold by W3.
- Provide ongoing support to clients in person including on-site visits to clients, as needed.
- Initiate pre-renewal meetings to determine client's needs for renewal within the specified department timeline. Coordinate with assigned producer.
- Partner with producer to assist and coordinate new client presentations and renewals.
- Work with marketing specialist to prepare groups’ request for proposal (RFP).
- Follow up on RFP with marketing specialist and/or carriers to make sure that proposals are received on timely basis.
- Analyze numerous carrier proposals, select benefits and rates from each carrier proposal, ensuring regulatory compliance. Choose appropriate options for client presentation.
- Review for accuracy the final renewal marketing presentation spreadsheets comparing carrier proposals, as needed.
- Coordinate and conduct employee meetings.
- Act as a liaison between client and carrier to complete all necessary renewal or new business paperwork.
- Record transactions and document as required in EPIC.
- Finalize new carrier contracts and policies.
- Maintain and update knowledge on relevant compliance requirements for benefit-related regulations (i.e. ACA, ADA, FMLA, COBRA, FSA, etc.).
- Advise clients and their employees with issues pertaining to benefit-related federal and/or state compliance.
- Independently manage and renew insurance contracts for small house non-VIP tier accounts, as assigned.
- Learn and become proficient with benefits administration software supporting W3 clients.
- Assist with the implementation of employee benefits administration software for W3 clients.
- Build and maintain a positive, trusted relationship with each member of our clients’ HR team.
- Responsible for completing a network provider search and comparing carrier networks for our clients.
- Actively pursue referral opportunities to other departments.
- Maintain electronic (EPIC) and/or paper files in an orderly, up-to-date manner.
- Monitor personal continuing education requirements to ensure compliance with licensing requirements. Attend company sponsored and online classes as necessary.
