• Support and lead procurement activities across development and customer projects, ensuring cost, quality, and schedule targets are met across assigned workstreams

The role

As Team Assistant, you'll be the backbone of support for Helsing's German leadership team, especially in government and industry engagements. Your expertise in organising high-stakes meetings and handling correspondence will enhance collaboration with senior external officials. You’ll ensure seamless operations with precise travel arrangements and efficient administrative systems, enabling swift responses to internal and external needs.  

The day-to-day

• Acting as the point of contact between our German Management Team and external partners/clients. 

• Organising meetings and communications between the German Management Team and senior external officials (in business and government) 

• Handling correspondence to the German Management Team and assuming responsibility for filtering this 

• Making travel arrangements and detailed travel itineraries 

• Maintaining the German Management Team filing and administrative systems to ensure they can work efficiently and with impact 

• Handle the German Management Team agenda and meetings with Helsing internal teams, help prioritise and resolve conflicts

• Conduct safety assessments, including Functional Hazard Assessment (AFHA/SFHA), Preliminary Aircraft/System Safety Assessment (PASA/PSSA), Safety Assessment (ASA/SSA) and Particular Risk Analysis (PRA) in accordance with ARP4761A

• Perform hazard analyses and risk assessments at the system, subsystem, and component levels, ensuring compliance with the processes and tasks of MIL-STD-882

• Develop and manage system safety requirements, including traceability, while supporting other engineering groups in integrating system safety into their design and development processes

• Contribute to the creation and maintenance of a System Safety Program Plan that complies with relevant standards and regulations, such as MIL-STD-882 and ARP4754B.

• Present safety cases effectively to relevant stakeholders and influence decision-making processes

• Support and participate in safety audits to confirm that systems meet safety objectives and adhere to applicable regulations

• Possess strong knowledge of safety standards and practices, specifically MIL-STD-882 and ARP4761A

• Are familiar with systems engineering best practices, including requirement development, management, traceability, verification, and validation

• Have proficiency in using safety analysis tools and techniques, including FMEA and FTA

• Demonstrate strong problem-solving skills and meticulous attention to detail

• Expert Advisory: Act as the primary point of contact for project managers and technical teams, providing clinical advice on export controls within both national and international frameworks

• Licensing & Application Management: Execute the end-to-end application process for German export and transfer licenses, including the preparation and administrative management of submissions to the Federal Office of Economics and Export Control (BAFA)

• Regulatory Compliance: Perform rigorous foreign trade law reviews to determine licensing requirements for technology transfers, goods exports, and services, ensuring total alignment with applicable laws

• Permit Oversight: Assume full responsibility for the management of German, EU and U.S. authorizations within your defined area, including the tracking and condition monitoring of all active licenses and responsibility of all subequent administrational processes

• Operations: Export Control business partner for assigned projects and being responsible within the life cycle of the projects for Hardware and Technology-transfer. You will be responsible for the Classification of goods according to national and international regulations in accordance with the specifications of the internal control program

• International Documentation: Secure international import certificates and end-use certificates, coordinating directly with authorities to request goods list information and other essential inquiries

• Internal Control & Training: Support the implementation of the Internal Control Program (ICP) and design measurable training and awareness-raising measures to elevate the company's compliance posture

• Stakeholder Communication: Manage professional relationships with German and U.S. authorities, customers, and suppliers to resolve complex licensing or logistics queries

• Take ownership of the day-to-day management and continuous improvement of the ISMS, ensuring frameworks remain audit- ready and aligned with ISO 27001 and BSI IT-Grundschutz requirements across Germany and international entities including the UK, France, and beyond.
  
  
• Act as a trusted security advisor to delivery teams across a portfolio of high-priority defence programs, consulting on the implementation and documentation of security concepts and ensuring compliance with VS-NfD operational requirements.
  
  
• Drive the planning, coordination, and execution of internal and external audits, as well as penetration testing activities, managing findings through to resolution and maintaining a culture of continuous security improvement.
  
  
• Contribute directly to the design and establishment of a foundational NATO Classified Infrastructure, navigating the complex compliance and accreditation requirements this entails alongside existing national commitments.
  
  
• Support the build-out of the Cyber SOC, helping to define processes, tooling, and operational procedures that will form the backbone of the organisation's detection and response capability.
  
  
• Develop, implement, and refine Incident Management procedures, ensuring the organisation is prepared to respond swiftly and effectively to security events across classified and unclassified environments.
  
  
• Participate in on-call rotations with a minimum commitment of one week per month, providing out-of-hours security support and incident response coverage as the organisation scales across multiple international locations.

• Have 2–4 years of hands-on experience in Information Security or IT Security within NATO, EU, or German national classified environments, and are ready to take that expertise to the next level in a fast-moving, high-stakes setting.
  
  
• Hold expert-level knowledge of ISO 27001 and BSI IT-Grundschutz and have practical experience implementing, managing, or auditing these frameworks — not just understanding them in theory.
  
  
• Are deeply familiar with VS-IT systems, accreditation processes, and the compliance demands of classified networks, and can hit the ground running without extensive onboarding.
  
  
• Thrive in environments where no two days are the same — equally comfortable advising engineers on security concepts in the morning and preparing audit documentation in the afternoon.
  
  
• Have a solid grasp of core security technologies including SIEM, PKI, IDS/IPS, and cryptographic systems, and understand how these operate within classified and defence - grade environments.
