Role Description

We are looking for a Receptionist / Patient Representative driven to create an delightful customer service experience from the moment a client steps through our doors while ensuring the smooth operation of a growing women’s health practice. You are warm, welcoming, attentive, outgoing, customer service and detail-oriented, organized, and eager to tackle challenges with empathy and creativity. You are eager to leave a smile on the patient’s face after they interact with you and are willing to go above and beyond to create a wonderful experience. 

What you’ll do       

• You are the first person our clients see when they walk through the door. You provide a warm, welcoming face of the practice, greeting and supporting clients from our welcome desk. You:
• Provide warm and friendly client interactions
• Take care of client check in and out, answering questions and disseminating information to appropriate team members as necessary
• Provide waiting area tours to new clients, orienting them to our space, making them feel welcome and at home
• Ensure paperwork, consents, and insurance information is collected and complete
• Managing the client schedule:
• You know the schedule front to back / inside and out, and can work through schedule efficiencies based on the flow of the day as well as client and provider needs
• You anticipate schedule needs days and weeks in advance
• You schedule client appointments in real-time as well as those made through our online platform
• Insurance, payment, and billing :
• Perform verification of benefit checks with insurance companies
• Manage and collect client copays and payment balances
• Discuss and set up payment plans with client
• Front of the house management:
• Work with the team to ensure the office is ready, set up, and prepared for the day
• Collaborate on inventory, keeping the office pristine, and other tasks as they arise
• Manage phone triage as necessary, coordinating between team members

Qualifications

• Customer service and hospitality experience strongly preferred and highly desirable (medical field customer service very preferred)
• Bachelor's Degree preferred or High School Diploma/GED w/ 2+ years experience in a related field
• Proficiency with Google Suite or Microsoft Office Products
• Strong computer skills; preferred familiarity with EMRs

Physician Assistant Role Description: 

We are seeking a dedicated Physician Assistant to join our comprehensive women's health team. The PA will work collaboratively with our multidisciplinary team including Certified Nurse Midwives, Mental Health Therapists, and Health & Wellness Coaches to provide exceptional, holistic care to women across all life stages at our Tallahassee, FL clinic location. 

Key Responsibilities

Clinical Care

• Conduct comprehensive women's health examinations including annual gynecological exams, contraceptive counseling, and preventive care
• Diagnose and treat common gynecological conditions and women's health issues
• Perform routine procedures including Pap smears, STI testing, contraceptive device insertion/removal
• Provide preconception counseling and basic fertility assessments
• Manage routine prenatal and postpartum care in collaboration with CNMs
• Order and interpret diagnostic tests and laboratory results

Patient Care & Education

• Develop individualized treatment plans focusing on patient-centered care
• Provide comprehensive patient education on women's health topics
• Counsel patients on lifestyle modifications, preventive care, and health maintenance
• Support patients through health transitions including menopause management
• Collaborate with mental health and wellness team members for integrated care approach

Documentation & Compliance

• Maintain accurate and timely electronic health records
• Ensure compliance with all regulatory requirements and clinical protocols
• Participate in quality improvement initiatives and clinical outcomes tracking
• Stay current with evidence-based practices in women's health

Team Collaboration

• Work closely with CNMs, physicians and support staff

Education & Certification

• Master's degree from an accredited Physician Assistant program
• Current certification by the National Commission on Certification of Physician Assistants (NCCPA)

Experience & Skills

• Minimum 1 year of clinical experience preferred (new graduates considered)
• Experience in women's health, family medicine, or related field preferred

Role Description

We are looking for a Clinical Coordinator excited about creating a high quality patient-experience and contributing to the smooth operations of a growing women’s health practice. The ideal candidate is outgoing and detail-oriented, is able to execute their job responsibilities independently and serve as the go to team member when the Practice Manager/Regional Director is not on site. 

What you’ll do

• Directly manage the Medical Assistant team through employee lifecycle:
• Build culture of team, accountability and support as the clinical leader. Ensure team of MAs support all providers consistently and thoroughly
• Interview, hire and coach MAs reporting into you
• Manage performance to MA competencies, behaviors, and standards
• Train new hires to that standard
• Support scheduling:
• Create and manage provider/resource clinic schedule templates
• Schedule scan for future days, working on scheduling efficiencies based on patient and provider updates
• Book patients for appointments based on forwarded messages and/or real time booking requests
• Conduct opening and closing procedures:
• Conduct administrative tasks to ensure the office is ready at the beginning and/or end of day
• Assist with inventory, light housekeeping, and other tasks as needed
• Conduct administrative tasks in between patients:
• Respond to administrative portal voice and text messages and emails
• Supply management:
• Assist practice manager with the overall inventory of office supplies and clinical supplies
• Assist practice manager with ordering supplies from various vendors as needed
• Admin Support
• Printing forms team uses in the office 
• Checking and processing mail and deliveries daily
• Picking up superbills and birth data sheets from Labor & Delivery to be sent to appropriate parties
• Ensure patients are receiving appropriate swag throughout pregnancy
• Serve as the voice of the practice, answering and working incoming calls and messages:
• Answer and triage incoming phone calls and app messages from our current patients and new patients
• Answer incoming phone calls from other stakeholders (e.g., external medical provider offices, start incoming referral requests)
• Check and respond to voicemail and after hours messages 
• Serve as the face of the practice and welcome patients at the front desk:
• Check patients in and out 
• Collect all point-of-service payments and/or outstanding balances
• Answer real-time questions and escalate as necessary
• Scan insurance cards for those not already inputted
• Team Support
• Active technology superuser and troubleshooting technology issues as they arise 
• Navigate patient appointment redistribution if the on call or resource providers are called to Labor and Delivery
• Be present and engaged in all team meetings, events, and listening sessions

Experience
