Position Description  

Access Holdings is seeking outstanding candidates to fill an Office Administrator role. This position is based in our New York City office. The Office Administrator will be responsible for ensuring the smooth and efficient day-to-day operation of the office while providing light administrative support to senior team members. 

This is an excellent opportunity for an early-career professional or recent college graduate looking to build a strong foundation in office operations and administrative support within a fast-paced investment environment. The ideal candidate has a positive, “can-do” attitude, strong attention to detail, and a desire to learn, take on new responsibilities, and grow within a high-performing team. 

Responsibilities 

• Oversee the day-to-day operations of the New York office, including mail and shipping, pantry and kitchen management, office supplies and inventory tracking, procurement, and overall office organization. 

• Manage facilities and vendor relationships, including submitting and tracking maintenance requests (PRISM), coordinating with building management, overseeing service providers, and supporting office repairs and upkeep. 

• Serve as the primary point of contact for office hospitality and meeting execution, including coordinating internal and external meetings, arranging catering, ensuring conference room readiness, and providing basic AV troubleshooting support. 

• Create, edit, and maintain professional documents and presentations in PowerPoint, Excel, and Word. 

• Support employee experience and onboarding logistics, including desk setup, key fob distribution, and visitor management. 

• Plan and execute internal office events and collaborate with internal teams and portfolio companies to coordinate meetings, board sessions, and firm initiatives. 

• Track and process office-related invoices, maintain organized administrative records, and support relationship coordination efforts, including follow-ups and scheduling with investors, executives, and portfolio company contacts. 

• Take on additional responsibilities and projects over time as experience grows, with opportunities to expand administrative and operational skill sets.  

• Provide light administrative and executive support to senior team members, including: 

• Coordinating calendars and scheduling meetings 

• Assisting with travel arrangements as needed 

• Preparing meeting agendas and materials 

• Tracking and submitting expenses 

• Supporting ad hoc, time-sensitive requests 

Requirements  

• 0–3 years of relevant administrative, internship, or professional experience in a corporate, financial, or professional services environment 

• Strong communication and interpersonal skills, with the ability to interact professionally with team members and external partners 

• Proficiency in Microsoft Office programs, especially Outlook, Excel, and PowerPoint 

• Exceptional organizational skills and attention to detail 

• Positive, proactive attitude with a willingness to learn and take on new responsibilities 

• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment 

• Demonstrated interest in working in a small, entrepreneurial team environment 

• Bachelor’s degree preferred

Key Responsibilities

• Market Analysis: Execute thorough market research to identify potential targets that meet the Access and Zeus origination criteria for B2B Lead Generation.
• Lead Generation: Utilize various channels to generate lead and opportunities for B2B for all of the Zeus Fire and Security brands through cold calling and other lead generating techniques.
• Campaign Design: Design and execute digital marketing content and strategies in partnership with Portfolio Executives and Access Investment Professionals to target markets and verticals.
• Prospects and Outreach: Reach out to potential B2B clients and partners through a multi-channel marketing approach.
• Performance Analysis and Reporting: Develop and design executive-level reports, dashboards, and board-level presentatio Track and manage B2B business development pipeline including lead qualification, follow-up activities, and progress tracking using CRM tools and systems.
• Adoption Management: Managing stakeholder engagement to ensure that Access sourcing and origination strategies are current and properly leveraged across all use-cases.

ACE (Access Creating Executives) Program Overview:

Access is seeking outstanding candidates for its Digital ACE (DACE) Program. This role is part of a broader Access strategy to cultivate best-in-class marketing and business development talent across the Access investment ecosystem. This is an exciting opportunity for high-potential talent to learn, implement, and continuously evolve a proven sourcing and origination strategy that has driven tremendous value for Access across a wide range of use cases. This position provides hands-on experience working hand-in-hand with deeply experienced Digital, Corporate Development, Sales and Marketing executives as well as senior investment professionals at Access.

As part of the DACE program, you will sit at the epicenter of some of the most important Access Holdings Value Creation initiatives, while learning and applying a wide range of contemporary digital tools and technology. Participants will work directly with portfolio executives, digital and corporate development teams to design data dashboards and establish best practices to drive operational efficiency and inform growth strategies, such as market and competitive intelligence and customer analysis.

Candidates who join the DACE Program as a member of an Access portfolio company will be working in partnership with the Access data analytics team, and the corporate executive teams to drive key business intelligence initiatives. Participants will develop a meaningful skillset and become deeply knowledgeable in data analysis processes across multiple facets.

You will be working directly with the Access team and their respective deal / portco teams. Members of the program will attend and participate in onboarding and training led by Access and designed to develop a robust knowledge and skillset in our digital tools and capabilities. Participants will be well-positioned to accelerate their career towards a move into several Data Science, Business Intelligence, and Corporate Development roles across the ecosystem for the long-term.

Key Responsibilities

• Own deployment of Pulse use cases, such as:
• Data platform implementation, including assessing data sufficiency to track target KPIs, building management dashboards, maintaining data cleanliness and quality, and building automated reporting to Access
• Marketing mapping and enrichment for M&A and customer industries, including M&A “want to own” and customer “want to serve” prioritization
• Geographic prioritization (at the MSA, zip, and address level) for new locations
• Customer intelligence (e.g., predictive churn) and pricing analytics to drive business priorities

Access Executive Development Program Overview:

Access is seeking exceptional individuals for the Access Creating Executives Program (“ACE Program”). ACE roles provide hands-on experience and exposure to key operational best practices and tactics of Access’ portfolio strategy execution.

Candidates (“ACEs”) join the ACE Program as members of an Access portfolio company, directly supporting and reporting to executives in key functions including Lead Generation, Revenue Operations, Digital / Business Intelligence, Finance, M&A / Corporate Development, Strategy, and Marketing. ACEs are expected to improve, execute, and document best practices within the key roles, developing a meaningful operational skillset.

ACEs will attend and participate in Access networking events, training sessions, and summits with other executives and ACEs across the Access portfolio. ACEs will work with Access to build skillsets, report out to other ACEs, develop playbooks, and provide insights to executives where appropriate. They will leverage key learnings across the current and future portfolio, while also driving projects and new investment opportunities.
