Overview of the role
The Payroll Associate is responsible for supporting the payroll function by accurately processing payroll data, maintaining records, and ensuring compliance with Philippine statutory requirements (BIR, SSS, PhilHealth, Pag-IBIG). This role focuses on execution and data accuracy, working under supervision of the Payroll Expert or Lead, and contributing to timely payroll processing in a high volume back-office environment.
Main duties include:
Payroll Processing Support
- Assist in preparation and processing of payroll (regular and special runs)
- Input payroll data including earnings, deductions, and adjustments
- Validate employee timesheets, attendance, and payroll inputs from endorsements.
- Ensure payroll data is accurate and complete before submission
Statutory Compliance Support
- Assist in computing basic statutory deductions:
- Withholding Tax (BIR)
- SSS, PhilHealth, Pag-IBIG contributions
- Support preparation of statutory reports and schedules
- Ensure proper documentation of payroll-related files
Payroll Data & Records Management
- Maintain and update employee payroll records with the Finance payroll system.
- Ensure proper filing (digital and physical) of payroll documents
- Maintain confidentiality of payroll data at all times
Payroll Reconciliation Support
- Assist in reconciling payroll reports and supporting schedules
- Check for inconsistencies and flag issues to Payroll Expert/Lead
- Support preparation of payroll summaries and entries
Query Handling
- Assist in responding to employee payroll inquiries
- Provide basic explanations for payroll computations and deductions
- Escalate complex or sensitive issues to Payroll Expert/Lead
Administrative & Support Tasks
- Perform data entry and documentation tasks
- Assist during peak payroll cycles (cut-off, month-end)
- Support other finance or payroll-related tasks as assigned
Requirements
- Bachelor’s degree in Accounting, Finance, HR, or related field
- 0–2 years experience in payroll, accounting, or similar role
- Fresh graduates with relevant internship experience may be considered
- Basic knowledge of Philippine payroll and statutory deductions
- Proficiency in Microsoft Excel
- Familiarity with payroll or accounting systems is an advantage
- High attention to detail
- Strong numerical and data accuracy skills
- Good organizational ability
- Willingness to learn and follow instructions
- Good communication skills
