Assistant Property Manager

About the Role
At Pavago, one of our clients is hiring an Assistant Property Manager to support day-to-day property operations across residential and commercial portfolios.
This is a fast-paced operations role where you’ll manage tenant communication, leasing administration, maintenance coordination, rent collection support, and property documentation. You’ll work closely with Property Managers, tenants, vendors, and property owners to keep operations organized, compliant, and running smoothly.
Responsibilities
Tenant Relations
- Serve as the primary point of contact for tenant inquiries.
- Respond to questions regarding leases, rent, maintenance, and property policies.
- Coordinate move-ins, move-outs, lease renewals, and tenant notices.
- Maintain accurate tenant records within property management systems.
Leasing Administration
- Prepare and manage lease agreements, renewals, amendments, and notices.
- Coordinate property listings and leasing activities.
- Pre-screen applicants and schedule property showings.
- Track occupancy and leasing performance.
Rent Collection & Financial Support
- Monitor rent payments and follow up on outstanding balances.
- Assist with delinquency communications and payment tracking.
- Record deposits, refunds, and security deposits accurately.
- Support owner reporting and financial documentation.
Maintenance Coordination
- Create and manage maintenance work orders.
- Coordinate vendors and maintenance technicians.
- Track repair progress and communicate updates to tenants.
- Verify completed work and review invoices before payment.
Documentation & Operations
- Maintain organized, audit-ready tenant and property records.
- Support compliance with Fair Housing regulations and lease documentation.
- Assist Property Managers with reporting, scheduling, and portfolio coordination.
- Identify operational issues and escalate when needed.
Required Experience & Skills
- 2+ years of experience in property management, leasing, or real estate operations.
- Experience using AppFolio, Yardi, Buildium, or similar property management software.
- Strong proficiency with Microsoft Office and Google Workspace.
- Familiarity with lease administration and landlord-tenant regulations.
- Excellent written and verbal English communication skills.
- Strong organizational and multitasking abilities.
Nice to Have
- Experience supporting portfolios of 100+ units.
- Residential, commercial, or mixed-use property management experience.
- Knowledge of property accounting and owner reporting.
- Experience coordinating vendors remotely.
- Familiarity with multi-state landlord-tenant regulations.
